Payroll Analyst

Position Overview
The Payroll Analyst is responsible for ensuring accurate and timely processing of payroll, maintaining compliance with applicable laws and regulations, and supporting payroll-related reporting and analysis.

Responsibilities

Process and review multi-state payrolls on a regular cycle (weekly, bi-weekly, for US and weekly and semi-monthly for Canada).

Audit payroll data for accuracy, including earnings, deductions, taxes, and timekeeping inputs.

Ensure compliance with federal, state, and local payroll tax regulations.

Reconcile payroll reports, general ledger accounts, and benefit deductions.

Investigate and resolve payroll discrepancies, employee inquiries, and system issues.

Maintain and update employee payroll records in the HRIS/payroll system (e.g., UKG, Oracle, ADP).

Prepare and analyze payroll reports for internal stakeholders, Finance, and auditors.

Support year-end activities, including W-2 processing and audits.

Assist with payroll system implementations, upgrades, and process improvements.

Collaborate with HR on changes related to compensation, benefits, and employee status.

Ensure proper documentation and adherence to internal controls and audit requirements.

Process payroll distribution, direct deposits, retroactive payments, voluntary payroll deductions, and research exceptions.

Analyze and resolve payroll related issues or questions from employees and other internal staff.

Receive and respond to pay related inquiries and collect timesheets from multiple locations for processing.

Make adjustments to amounts paid including overtime, vacation, sick, bonuses, garnishments, short-term disability; maintain garnishments in payroll database.

Respond to queries from garnishment agencies and record adjustments to pay for previous errors or retroactive increases.

Compile statistical reports, statements, and summaries related to pay and submit them to appropriate departments.

Process manual checks, voids, stop payments, and direct deposit reversals as needed.

Required Qualifications

High school diploma or equivalent required.

Minimum of three to five (3‑5) years of payroll processing experience.

Experience with HR Information Management systems (UKG, Oracle Fusion, Workday, PeopleSoft).

Experience in processing multi-state payrolls.

Knowledge of payroll laws and understanding of federal, state, and local taxes.

Language skills: ability to read, comprehend and write routine correspondence and present information effectively.

Critical thinking / reasoning ability: ability to carry out instructions furnished in written, oral, or diagram form, and to solve problems involving several variables in standardized situations.

Decision-making authority: some independent judgement needed to select and apply appropriate procedures, with ongoing supervision as needed.

Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).

Strong oral, written, and interpersonal skills.

Strong analytic and problem-solving skills.
