This position will be based exclusively onsite at our Tempe, AZ office Monday through Friday from 8am - 5pm local time.
The Office Administrator provides administrative, operational, and office support for the Loan Servicing department. Responsibilities include managing incoming and outgoing mail and shipments, processing checks, and related business documentation, coordinating office operations and supplies, supporting associate onboarding and workspace needs, maintaining facilities and equipment, assisting with internal communications and meetings, and ensuring timely, accurate documentation and follow-up for assigned tasks.
Essential Duties and Responsibilities:

Answer phones, schedule meetings, support visitors, and provide administrative support to the Loan Servicing department and cross-functional teams.
Draft, format, and distribute department communications, meeting materials, and other correspondence.
Process all incoming and outgoing USPS, FedEx, and UPS mail, including sorting, scanning, logging, distributing, and ensuring timely shipment of outgoing items.
Maintain daily mail folders, worksheets, logs, and tracking records; retrieve and distribute mail, and handle returned or non-deliverable items, address changes, and re-mailing.
Process hazard, tax, and escrow-related checks in accordance with department procedures, including verifying, logging, scanning, distributing, preparing correspondence, and maintaining accurate records.
Submit daily check logs, scanned copies, and worksheets to the Cash department and provide backup support for related check-processing tasks as needed.
Print and distribute Bankruptcy and Foreclosure department documents for execution and complete monthly mail merges for Investor Reporting letters.
Maintain clean, organized, and stocked office, kitchen, copy room, printer, server room, and communal areas; coordinate maintenance, repairs, and vendor services as needed.
Track, order, and restock office, kitchen, cleaning, and printer supplies; monitor inventory and coordinate supply reviews.
Assist with IT support, equipment setup and returns, printer access, troubleshooting coordination, equipment inventories, and backup corporate phone support.
Support hiring managers with associate onboarding and office coordination, including workspace setup, badge requests, building access updates, printer setup, and employee tracking updates.
Coordinate department events, facility requests, bulletin board updates, employee recognition activities, and other workplace-experience tasks.
Maintain office expense tracking and create and update procedures, logs, spreadsheets, and other operational documentation.
Work with management and other teams as needed and perform other duties as assigned.

Maintain dependable daily processing timelines, including mail handling, shipment cutoffs, and check-log reporting requirements.
Perform all actions in accordance with company policies, procedures, and productivity expectations.
Effectively use position-related software, Microsoft Office products, and department tracking tools.
Work well with other members of the EHL team, support cross-functional needs, and be willing to assume additional responsibilities, duties, and projects as they arise.
Specific Skills/ Knowledge/ Abilities Required for Position:

High school diploma or general education degree (GED) required.
Three to five years of office administration, office management, or similar administrative support experience required.
Ability to read and comprehend instructions, short correspondence, and memos and to carry out written, oral, or diagram-based instructions with accuracy.
Ability to effectively present information in writing and in one-on-one situations to management, customers, associates, and vendors.
Strong organizational, time-management, and multitasking skills with attention to detail and follow-through.
Demonstrated ability to handle confidential information with professionalism and sound judgment.
Strong computer skills, including Microsoft Windows and Microsoft Office applications, especially Word and Excel.
Resourceful, self-driven, and dependable, with strong problem-solving skills and a positive, service-oriented approach.
Ability to work well with fellow associates, clients, and vendors and contribute to a strong team culture.

May be responsible for obtaining and maintaining notary public commission at company’s expense.
Physical Requirements:

Requires all forms of dexterity and mobility throughout the shift, which may include extended periods of sitting and/or Occasionally required to reach with hands and arms, twist, climb or balance, stoop, kneel crouch or crawl.
Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral, depth perception and the ability to adjust focus.
Must be able to speak and hear, lift and carry up to twenty-five pounds (25 ) or occasionally more.
Ability to work in a fast-paced, occasionally noisy.
May be required to drive for business purposes and if so, must hold a driver’s license in good standing and maintain personal auto insurance in compliance with EHL’s Auto Insurance policy.
