Overview

You will be the liaison between the CEO of Client Accelerators and the rest of the company, executing processes and making decisions on behalf of the CEO.

Role
The core duty is to manage the CEO’s day‑to‑day necessities, freeing up his time for strategic work. The role requires an independent, critical thinker who can handle abstract and ambiguous requests, ask clarifying questions, and perform quick research to propose solutions.

Responsibilities

Managing projects on behalf of the CEO to ensure the team is held accountable and KPIs are met.

Meeting Minutes on the Weekly Executive Meeting, 1‑1s, and documenting project status from these meetings to hold attendees accountable.

Ensuring the CEO’s agenda is set each week by prioritizing items and blocking off times for maximum productivity.

Debriefing the CEO at the beginning of the day on emails/messages/requests that require his insight.

Acting as a liaison with the Leadership team and CEO, documenting all items needed from the CEO by members of the Leadership team and inserting them into the CEO’s calendar.

Managing all incoming communication inquiries on behalf of the CEO, including YouTube, Facebook, and Instagram.

Assisting the CEO with the execution of new projects and objectives within the company—scheduling meetings, filling out paperwork, managing vendors, and launching new initiatives.

Serving as a point of contact for all direct reports of the CEO or anyone needing communication with the CEO.

Organizing travel and complex itineraries.

Conserving the executive's time by reading, researching, routing correspondence, drafting letters and documents, and gathering information as requested.

Ensuring the CEO’s home is stocked with all necessary items, including correct foods & supplements for daily peak performance.

Building and maintaining a live asset tracking system for cataloging & inventory control.

Reminding the executive of important tasks, due dates, and decisions to be made.

Assisting with any other tasks not directly in need of the CEO.

Researching and purchasing gifts for business and personal occasions.

Helping the CEO deal with banks & refinancing properties.

CEO Time & Operational Leverage

Filtering, prioritizing, and delegating 80% of non‑strategic tasks.

Maintaining Asana accuracy (updated Monday/Wednesday/Friday).

Pre‑planning the CEO calendar weekly (completed by EOD Friday or Monday 9am at the latest).

Ensuring fewer than five non‑urgent interruptions per week.

Financial & Banking Management

Assisting the CEO with personal finances.

Monthly reconciliation of all financial transactions.

Ensuring 100% of bills are paid on time.

Providing a weekly cash‑flow update and a monthly financial summary by the 5th of each month.

Coordinating with CPA, banks, and lenders.

Real Estate Portfolio Management

Maintaining 100% rent roll accuracy.

Ensuring 100% rent collection logged within 72 hours.

Zero missed tax, mortgage, or insurance deadlines.

Coordinating all maintenance requests within 48 hours.

Maintaining a property performance dashboard updated bi‑weekly.

Delivering quarterly portfolio summaries.

Food & Nutrition Management

Maintaining a 30‑day rolling meal plan aligned with the CEO’s health goals.

Ensuring home and office food inventory is stocked 100% of the time.

Preparing at least one fresh meal per day as scheduled.

Tracking supplement inventory and restocking before a 7‑day depletion window.

Pet Care & Management

At least one walk per day (weather permitting).

Maintaining the feeding schedule.

Tracking food inventory and restocking before a 5‑day depletion window.

Scheduling grooming once or twice a month.

Scheduling annual vet visits and vaccinations before due dates.

Maintaining a digital pet medical record.

Coordinating boarding logistics when the CEO travels.

Office Asset Cataloging & Inventory Control

Creating a centralized digital asset log within the first 30 days.

Cataloging 100% of laptops, desktops, monitors, hard drives, cameras, files, and other physical equipment.

Results

Ensuring the CEO focuses on the top 20% of activities that move the company forward, delegating the other 80%.

Pre‑planning the CEO’s calendar weekly for maximum effectiveness.

Setting and pre‑scheduling all vital business and personal appointments, considering distance, drive times, and intervals.

Conducting appropriate research to support the CEO’s focus on new projects and ventures.

Screening and handling all interactions, reaching out to the CEO as needed for decision‑making.

Updating Asana board at least every Monday, Wednesday, and Friday.

Answering all inquiries on social media/email by end of day.

Meeting with the CEO as requested to debrief on the day’s agenda.

Requirements

Communication Cycle

Communications on priority items via Slack with the CEO.

Communications with the CEO’s direct reports on short or priority items via Slack.

Long‑form questions or low‑priority items consolidated for email, with potential follow‑up via Voxer.

All requests added to the Asana board and updated daily.

Asana board remains up to date Monday/Wednesday/Friday.

Weekly Tasks

Asana updated by end of day Friday.

Attend all requested meetings, including weekly & monthly strategic team meetings, weekly executive meeting, and predefined 1‑1s between the CEO and direct reports.

Schedule

Monday to Friday.

On call.

Weekend availability.

Experience

Minimum 2+ years supporting a C‑level executive or business owner.

1–2 years at a top management consulting firm (Bain, BCG, McKinsey, etc.).

Bachelor’s degree.

Excellent interpersonal skills, working with individuals at all company levels.

Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint).

Proven ability to thrive in a fast‑paced, dynamic environment.

Can handle multiple high‑priority tasks without losing focus on daily responsibilities.

Laptop with high‑speed internet access (Windows preferred).

Soft Qualifications

Strong business acumen.

Self‑directed, flexible, and enthusiastic with a focus on results.

Exceptional time‑management and organizational skills; excellence in written and verbal communication with superior follow‑through.
