We are seeking a highly organized and detail-oriented Technology Operations Specialist to support the CIO and broader IT organization. This role provides administrative and operational support across budgeting, vendor coordination, procurement, and IT processes. It is an excellent opportunity for someone looking to grow their career in technology operations, with exposure to business processes, financial coordination, and cross‑functional initiatives. The role is also well‑suited for candidates with prior experience who can operate more independently and take on additional ownership.
Responsibilities and Duties
Administrative & Team Support: Provide administrative and coordination support to the CIO and IT leadership team; prepare materials, reports, and presentations for meetings and business reviews; support scheduling, meeting coordination, and tracking of action items and follow‑ups.
Budgeting & Financial Coordination: Track and maintain IT budget data and actuals; support preparation of financial reports and basic dashboards; coordinate invoice submissions and track payment status; maintain accurate records of expenses and vendor‑related costs.
Vendor & Contract Coordination: Support coordination with IT vendors, including scheduling meetings and follow‑ups; maintain and track vendor contracts, including key dates and renewal timelines; assist in preparing materials for contract reviews and approvals.
Procurement & Systems Support: Process hardware, software, and equipment requests through ServiceNow; track procurement requests and ensure timely follow‑up; maintain accurate records of assets, licenses, and orders.
License & Asset Tracking: Maintain records of software licenses and user assignments; track renewal dates and support coordination of renewals; assist in ensuring accurate tracking of technology assets.
Policy & Compliance Support: Support updates and organization of IT policies and procedures; assist in gathering documentation for audits, compliance reviews, and investor requests.
Education and Experience
Bachelor’s degree preferred; high school diploma or equivalent required.
1–5 years of experience in an administrative, operations, or support role (internship experience welcome).
Strong organizational skills and attention to detail.
Ability to manage multiple tasks and prioritize effectively.
Proficiency in Microsoft Office, especially Excel and PowerPoint.
Strong communication skills and ability to work across teams.
Interest in technology, operations, or business processes.
Preferred Qualifications
Experience supporting a team or coordinating projects (academic, internship, or professional).
Familiarity with tools such as ServiceNow, Canva or similar systems.
Ability to proactively identify issues, solve problems, and drive tasks to completion.
Exposure to budgeting, procurement, or vendor coordination processes.
