Position Summary

Provide high‑level administrative support to the Division President, Senior Leadership team and day‑to‑day management of the West Hartford Division office. Demonstrate strong customer focus, confidentiality and efficiency while ensuring seamless coordination across office operations, leadership needs, and internal and external partners.
Essential Duties And Responsibilities

Coordinate schedules, make appointments, arrange and coordinate travel, maintain calendar and contacts
Arrange meetings, including logistics such as catering, agendas and facilities
Create PowerPoint presentations as directed
Keep the President and leadership team informed and follow up on assignments in a timely manner
Manage requests for Division President’s time in a customer‑focused manner
Prepare expense reports for the team
Organize and maintain filing system
Provide day‑day office management support, including welcoming visitors and keeping meeting and break rooms tidy
Serve as liaison between the office and building management for maintenance, access and facility needs
Manage office security systems, including badge access and vendor coordination
Act as liaison between the IT department and leadership team to support onboarding, offboarding and daily technology needs
Track and help drive completion of key deliverables and follow up on outstanding items
Work with other assistants throughout CRH/Americas Materials and the broader organization
Complete other duties as assigned
Manage the executive’s workflow and priorities, anticipating steps ahead and keeping them focused on important projects
Create and distribute intercompany correspondence
Develop, refine and distribute presentations/materials for meetings and take minutes as needed
Knowledge & Skill Requirements

Excellent verbal and written communication skills
Ability to handle confidential information
Attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Microsoft Teams)
Strong customer focus, action orientation, problem solving, interpersonal savvy, time management, planning, organizing, ability to deal with ambiguity, composure, organizational savvy and drive for results
Ability to work independently and in a team environment
Minimal travel willingness
Ability to manage multiple priorities
Experience with Concur travel and expense
Education

High School Diploma or equivalent (mandatory)
Bachelor’s degree (preferred)
Work Experience

7–10 years of experience supporting executives, preferably with a large public company
