About the Position
The Executive Administrator & Facilities Coordinator plays a dual‑role supporting both executive leadership and the in‑office Facilities function. This position is critical to ensuring a seamless, high‑functioning workplace experience while maintaining high‑quality administrative support for assigned executives. It is a Monday‑Friday, in‑office role based in the Chicago office, with an anticipated 50/50 time allocation between executive support and facilities responsibilities. Compensation (salary and bonus) will be split evenly across both functions but the reporting line will be to Facilities.

Responsibilities

Sales Team/Executive Support (Approx. 50%)

– Provide administrative support to various sales/executive teams on an as‑needed basis; coordinate internal and external meetings, including logistics, catering, and materials; maintain detailed calendars, prioritize meeting requests, and resolve scheduling conflicts; process expense reports; handle a moderate volume of phone and email communications in a professional and effective manner; plan and book business travel arrangements; execute general administrative duties including copying, filing, and ad‑hoc projects.

Facilities & Office Operations (Approx. 50%)

– Maintain a strong in‑office presence, supporting daily operations of the Chicago office Monday through Friday and may also act as a backup to reception; respond as the backup to all Facilities emails and tickets; handle incoming and outgoing mail and packages adhering to compliance protocols; stock and maintain three office kitchens twice daily to ensure cleanliness, organization, and availability of supplies; clean, reset, and prepare conference rooms throughout the day, ensuring readiness for all meetings; restock supply rooms daily, maintaining appropriate inventory levels; order all kitchen, conference, and office supplies on a weekly basis, managing vendor relationships and cost efficiency; support Facilities as a backup for vendors entering the office (cleaning, maintenance, deliveries, etc.), ensuring professionalism and adherence to expectations; develop, document, and maintain Standard Operating Procedures (SOPs) for all Facilities‑related activities, with an initial focus on the Chicago office and scalability to other locations; assist with coordination and execution of in‑office events, meetings, and team gatherings; evolve the role as office needs grow, with potential to scale Facilities processes across multiple locations.

Compensation
The base salary range for this position is $65,000 - 80,000. This is an estimated range based on the circumstances at the time of posting, however, may change based on a combination of factors, including but not limited to skills, experience, education, market factors, geographical location, budget, and demand. This position is also eligible for a bonus component that would be dependent on pre‑defined performance factors. All compensation determinations are based on the skills and experience required for the position and commensurate with experience of selected individuals, which may vary above and below the stated amounts.
