Job Description
Financial Responsibilities

Work with the Division Chief on developing a divisional budget in accordance with departmental and university financial guidelines.

Ensure the Division’s budget meets annual goals, remains accurate and reasonable.

Maintain accuracy of financial reports; develop and maintain internal controls over financial reporting.

Implement departmental, college, and university policies regarding fund sources.

Safeguard divisional assets by protecting and accounting for resources such as cash and fixed assets.

Approve or delegate approval for purchase requisitions, travel authorizations, vouchers, and payment requests.

Provide financial information and analysis to the Division Chief for strategic decisions.

Assist the Division Chief with negotiating, implementing, and monitoring contracts.

Ensure divisional fiscal staff is adequately trained.

Clinical Operations / Revenue Cycle Management Responsibilities

Develop the clinical revenue budget based on expected provider activity and payer mix.

Educate providers on coding, reimbursement, compliance, HIPAA, and other regulatory requirements.

Ensure providers are trained on coding accuracy and the division’s charge capture systems.

Collaborate with the Clinic Director and clinic managers to develop visit projections and expense budgets.

Review practice metrics and work with clinic managers and physicians to improve performance.

Analyze clinical collections to identify problems and develop solutions.

Prepare analysis of clinical activity for divisional strategic decision making.

Faculty Productivity Tracking Responsibilities

Develop, modify, and maintain divisional faculty productivity tools on a weekly, monthly, and annual basis.

Update faculty salary distributions and assignments to reflect productivity accurately.

Manage compensation plan communication and administration for faculty assignment, benchmarks, incentives, salary increases, and reductions.

Divisional Administrative Responsibilities

Supervise all administrative functions of the division.

Directly supervise and mentor administrative, fiscal, and fellowship program staff.

Delegate effectively to train, supervise, and mentor divisional office staff.

Provide staff with growth opportunities, training, and necessary tools.

Supervise accounting of physical inventory per university policy.

Act as facilitator for major renovations and relocations.

Ensure division web site content is accurate and current.

Send correspondence to recent donors of divisional foundation accounts.

Human Resources

Coordinate and manage divisional HR and appointment activities for faculty, teams, operations, housestaff, and graduate assistants.

Guide Division Chief on recommended salaries for new hires.

Coordinate with university and college units on payroll and HR matters.

Represent the division with the Malcolm Rangel VA Medical Center regarding faculty VA appointments.

Ensure salary and fringe benefit costs are allocated to the correct funding source.

Participate in resolving personnel issues.

Provide salary benchmark data to the Division Chief for determining starting salaries and increases.

Academic Administrative Responsibilities

Assist with tenure and promotion process, faculty mentoring, and mid‑career review for tenure‑accruing faculty.

Ensure semester effort reports are completed and authorized timely via the university system.

Ensure annual faculty evaluations are completed, distributed, and returned; verify mission assignments and RVU targets in evaluation letters.

Other Duties As Assigned

Serve as divisional liaison for Department of Medicine, College of Medicine, and university committees.

Serve on committees and task forces as directed or nominated.

Potential compensation plan support, modifying effort percentages accordingly.

Expected Salary
$90,000 - 105,000 annually

Required Qualifications

Master's degree in an appropriate area and two years of relevant experience; or a bachelor's degree in an appropriate area and four years of relevant experience.

Preferred

Master's degree in Health Care Administration, Business Administration, or equivalent, with one year of relevant experience.

Bachelor’s degree in Health Care Administration, Business Administration, or appropriate specialization with four years of experience.

Ability to plan, manage, organize, and coordinate assignments; monitor multiple projects simultaneously.

Strong data analytic skills.

Knowledge of university fiscal and personnel policies and procedures.

Proficiency in Excel.
