Position Overview
Office Manager at University Prep, a K‑5 tuition‑free public charter elementary school in the North Central region of Denver. Reporting to the Dean of Operations, the Office Manager will lead administrative and business functions, ensuring a frictionless experience for scholars, families, and staff.

Key Responsibilities

Oversee U Prep’s student information system and ensure scholar records are accurate and up to date.

Provide daily key metrics to the Dean of Operations and follow up with families as needed.

Support the academic team with set up and maintenance of key technology platforms used by scholars and teachers.

Manage inventory across the school, including instructional supplies, classroom materials, and uniforms, creating systems for auditing and proactively tracking and ordering stock.

Coordinate daily operational logistics including arrival and dismissal systems, staff coverage, and scheduling needs.

Track and manage scholar dismissal methods and tardy arrivals, ensuring accurate and timely updates.

Support onboarding and ongoing staff needs, including technology setup and system access.

Collaborate with the academic team to set up and maintain key curriculum platforms used by scholars and teachers.

Partner with IT consultants to manage staff technology, software systems, and inventory.

Assist with communication and coordination across teams to ensure smooth daily operations.

Serve as the front‑facing representative of the school, providing a welcoming and professional presence for families and visitors.

Manage daily front office operations, including answering phones, responding to inquiries, and resolving family concerns.

Oversee student information systems, ensuring scholar records (attendance, contact details, transfers, and documentation) are accurate and up to date.

Monitor and report key daily metrics (e.g., attendance, operational updates) to the Dean of Operations.

Conduct outreach to families regarding student absences and attendance concerns.

Coordinate and distribute all outgoing communications to families via flyers, email, text, and social media.

Maintain organized filing systems (digital and physical) for compliance and accessibility.

Maintain the overall presentation and functionality of the school building in partnership with the maintenance team.

Conduct regular facility audits alongside school leadership to ensure a clean, safe, and welcoming environment.

Oversee office systems and procedures to improve efficiency and consistency.

Ensure all technology platforms and operational systems are functioning effectively, troubleshooting or escalating issues as needed.

Act as an integral member of the school‑based Operations team, supporting various operational functions as needed.

Collaborate with the Principal and Dean of Operations on special projects, reporting, and continuous improvement initiatives.

Contribute to building streamlined systems that enhance overall school performance and family experience.

Strong preference for bilingual (English/Spanish) candidates.

Compensation & Benefits

Starting annual salary range: $50,000 – $75,000.

Participation in the Colorado PERA retirement program, including a PERA 401(k).

University Prep covers 100% of the employee’s medical benefits and offers options to elect dental, vision, critical illness, and accident benefits.

Contribution of either $250 or $600 to a personal wellness account for each employee, depending on the health plan chosen.

Potential access to a moving relocation stipend, dependent on geography and distance from the campus.
