
Project Coordinator

Job Overview
This position provides administrative support to team operations and projects and is essential for handling the detailed, day-to‑day tasks that keep a project moving forward. The administrator acts as a central point of contact for project‑related information, ensuring that all participants are kept updated on progress, challenges, and key deliverables. Their administrative and organizational support helps maintain the project's structure, efficiency, and adherence to the defined scope, budget, and timeline.
Responsibilities
Lead the development of processes and procedures to improve efficiencies.
Interact with HR, IT, Operations, Accounting, and Safety to develop new platforms and operational improvements.
Track and drive local performance metrics and project management using software, particularly Quickbase, and other tools that may be developed.
Organize, update and maintain requirement documentation per current format standards, including post‑implementation clean‑up work.
Accountable for project reporting to ensure all information is collected and organized consistently while providing an accurate and up‑to‑date view of the project status.
Follow up on action items, track issue logs, document meeting minutes, and organize tasks efficiently to meet deliverables on time. Notify management when schedules cannot be met and recommend alternatives to minimize delay.
Establish cooperative, productive relationships with functional business‑area resources and IT to resolve issues and keep the project moving.
Conduct information searches, compile data, and monitor and report results as needed.
Identify and resolve issues that jeopardize project success.
Assist in gathering and completing project close‑out packages.
Track and report time for the market team as well as for payroll purposes. Utilize Sage SSO and SM systems and other tools as may be developed.
Requirements
Strong written and oral communication skills.
Strong planning, organizing and time‑management skills relevant to a construction environment.
Strong analytical and problem‑solving skills relevant to a construction environment.
Strong knowledge and experience with Microsoft Office tools such as Access, Excel, Word, Projects, PowerPoint, Visio, and site‑tracker experience is a plus.
Ability to deal with multiple, concurrent, and rapidly changing demands.
Ability to interact, partner, and influence internal and external customers at various levels of management.
