Overview

Administrative Manager, School of Medicine, Rheumatology

– Boston University Medical Campus. The Administrative Manager assists the Administrative Director in the day-to-day operations and management of administrative services in the Section of Rheumatology to meet the clinical, research and education missions of the Department of Medicine. They help develop and manage section activities in accordance with operating policies and business plans, using initiative and independent judgment to provide leadership on section operations, quality improvement, innovation and staff development. The role requires excellent communication skills and the ability to foster effective internal and external relationships.

Responsibilities

Essential Function 1: Oversee, train, manage, and onboard staff members and students; establish objectives and evaluate performance to ensure standards are met.

Essential Function 2: Faculty Administration – assist in hiring and recruiting faculty; facilitate onboarding/offboarding, including offer letters, credentialing and enrollment, faculty appointments and promotions; perform personnel actions in SAP; provide support to faculty; monitor faculty productivity; co-manage section chief calendar management.

Essential Function 3: Office management – manage office space, monitor and maintain inventory of supplies and equipment, make purchases within budget, keep equipment operational and coordinate repairs or replacements with vendors or IT; submit reimbursements for faculty in Concur and Chrome River.

Essential Function 4: Content and communications – manage content on Rheumatology BUMC and BMC websites, develop and update content, oversee fellowship site content, handle communications for the section, prepare and distribute reports and memos, ensure compliance communications with faculty and staff, and handle end-of-year newsletters and related projects.

Essential Function 5: Meeting coordination – coordinate and attend meetings, prepare and circulate agendas, and take and distribute meeting minutes.

Essential Function 6: Directory and list serves – manage Rheum/AADC directory and distribution lists, updating for student, staff, faculty, and alumni changes.

Qualifications
Required Skills:

Bachelors degree with 2-3 years of direct experience.

Salary Range: $62,525.00 – $81,175.00
