Administrative Coordinator / Department Administrative Support

What We're Looking For:
Demonstrated commitment to customer service, teamwork, and professionalism
Previous secretarial or administrative support experience
Ability to manage multiple priorities in a fast-paced healthcare environment
Post–high school vocational or specialized training preferred
Strong working knowledge of office administrative procedures and standard office equipment
Proficiency in computer software applications including word processing, spreadsheets, databases, and presentation tools
Ability to maintain confidentiality and comply with HIPAA and safety regulations

What You Will Do:
Provides a wide variety of administrative and staff support services to ensure efficient department operations while supporting physicians, staff, patients, and the community.
Provide day-to-day administrative support to physicians and departmental staff
Schedule appointments, screen and route phone calls, and make appropriate referrals
Coordinate with physician offices regarding patient referrals
Schedule and assist with community health screenings
Manage incoming mail and departmental documentation
Maintain accurate records, filing systems, and departmental manuals
Monitor and maintain office supplies, equipment, and materials
Oversee clerical workflows to ensure timely and accurate completion of work
Provide guidance, delegation, and performance oversight of clerical activities as assigned
Perform timekeeping duties, including accurate Kronos data entry and error resolution
Prepare and proofread correspondence, reports, agendas, and meeting minutes
Create and format documents using a variety of PC software applications
Uphold HIPAA standards and comply with all organizational safety policies
Perform additional duties as assigned to support departmental needs
