High School Office Clerk

The Clerk ensures accurate, timely, and compliant tracking of student attendance in alignment with district procedures and Texas Education Agency (TEA) requirements. This role supports campus accountability, Average Daily Attendance (ADA) reporting, and student success through consistent monitoring, documentation, and communication.
Education/Certification:
High school diploma or GED required
Experience:
Previous clerical or office experience preferred
Experience in a school setting or with student information systems (e.g., Ascender, Skyward) preferred
Special Knowledge/Skills:
Knowledge of attendance laws and TEA requirements (preferred)
Strong organizational and data-entry skills
Ability to maintain confidentiality (FERPA compliance)
Effective communication and customer service skills
Attention to detail and accuracy
Ability to manage multiple tasks and meet deadlines
Major Responsibilities and Duties:
Attendance Management:
Maintain accurate daily attendance records for all students
Verify and enter attendance data into the student information system
Monitor tardies, absences, and early dismissals for accuracy and compliance
Reconcile discrepancies between teacher records and system entries
Compliance & Reporting:
Ensure attendance records meet TEA and district requirements for ADA reporting
Process and code absences according to district and state guidelines
Maintain documentation for excused and unexcused absences
Prepare attendance reports for administration, district, and audits
Truancy & Intervention Support:
Track students with excessive absences or tardies
Notify parents/guardians regarding attendance concerns
Assist in preparing documentation for truancy filings
Collaborate with administration, counselors, and CIS staff to support attendance improvement
Communication:
Serve as the primary campus contact for attendance-related inquiries
Communicate with parents regarding attendance policies, absences, and required documentation
Support front office operations by assisting students, parents, and staff
Record Keeping & Documentation:
Maintain organized and secure attendance records
File and archive attendance documentation in compliance with district guidelines
Ensure timely updates to student records, including enrollment and withdrawal dates
Campus Support:
Assist with front office duties as needed
Support campus initiatives related to attendance improvement
Participate in training and meetings related to attendance procedures and compliance
Supervisory Responsibilities: None
Working Conditions:
Frequent use of computer and office equipment
Prolonged sitting with occasional standing and walking
Interaction with students, parents, and staff in a school environment
Mental Demands:
Ability to maintain focus and accuracy with detailed data
Ability to manage interruptions while maintaining workflow
Ability to handle confidential information with discretion
Emphasis on proactive attendance monitoring (e.g., weekly tracking of students with 7+ absences/tardies)
Participation in campus attendance meetings and data reviews
Support for early truancy intervention systems (e.g., filing at 10 cumulative absences/tardies per campus expectations)
