POSITION DESCRIPTION

POSITION TITLE: Procurement & Material Management Specialist
FLSA: Exempt
RETIREMENT: Railroad Retirement
FT or PT: Full-time - no remote option
POSITION REPORTS TO: VP of Administration

POSITION PURPOSE: The Procurement & Material Management Specialist is responsible for supporting the organization's operational efficiency through strategic procurement, inventory control, and coordination of materials, supplies, and equipment. This role ensures the timely and cost-effective acquisition of goods, maintains accurate inventory, records, and supports logistics, safety supply management, and cross-departmental needs. The Specialist collaborates with internal teams and external vendors to uphold quality standards, ensure compliance, and contribute to seamless day-to-day operations.

ESSENTIAL DUTIES
• Procurement & Vendor Coordination: Source, procure, and track materials, supplies, and equipment in alignment with operational needs and budget guidelines. Communicate with vendors to obtain pricing, confirm orders, resolve issues, and ensure timely delivery. Maintain vendor records and support evaluation of supplier performance.
• Inventory & Material Management: Maintain accurate inventory levels of materials, parts, PPE, and supplies. Monitor stock usage, establish reorder points, and coordinate replenishment to prevent shortages or overstock. Conduct routine inventory counts and reconcile discrepancies.
• Receiving & Logistics: Coordinate inbound and outbound shipments. Receive, inspect, and verify incoming goods for accuracy and quality; document and resolve discrepancies. Ensure proper storage, labeling, and distribution of materials to appropriate departments.
• Safety Supply Support: Partner with the Safety Department to monitor and maintain adequate levels of PPE and first-aid supplies. Assist in coordinating safety meetings and tracking safety related inventory throughout the property.
• Data Management & Reporting: Maintain accurate procurement, inventory, and vendor data within ERP and other systems. Generate reports related to purchasing, inventory levels, and usage to support operational planning and decision making.
• Administrative & Operational Support: Provide general administrative support as needed, including handling correspondence, coordinating schedules, and assisting with documentation related to procurement and materials management.
• Customer & Team Support: Serve as a point of contact for internal departments and external vendors, ensuring responsive, professional communication and timely resolution of requests or issues.
• Continuous Improvement & Projects: Identify opportunities to improve procurement processes, inventory control, and efficiencies. Assist with special projects, audits, and process improvements as assigned.
• Performs other related duties as assigned.

EXPERIENCE & EDUCATION
• College degree or 3 -5 years relevant experience preferred.
• High school diploma or equivalent required.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
• ERP experience is preferred.
• Strong organizational skills with the ability to prioritize tasks and manage time effectively.
• Excellent communication skills, both verbal and written.
• Attention to detail and accuracy in data entry and record-keeping.
• Ability to maintain confidentiality and handle sensitive information with discretion.
• Flexibility and adaptability to work in a dynamic environment and willingness to take on new challenges.
• Strong work ethics and a positive attitude with a willingness to collaborate and contribute to team goals.
• Ability to work independently with minimal supervision.
• Forklift experience is preferred.
WORKING CONDITIONS
• Full-time, hourly. Regular hours are 8:00 am to 4:30 pm.
• Weekend and holiday work as needed.
• Work is required in all weather conditions at all times of the year. Most of the work will be indoors.
• Sitting for extended periods.
• Work requires regular social contact with team members, customers, guests, and vendors.
• Appropriate casual attire. No rips or holes in jeans or shirts. No open toed shoes on the back part of the property. Strasburg shirts encouraged.
• Lifting more than 30 pounds.
