The Project Administrator provides dedicated administrative support to project managers and technical teams for the Interborough Express Project. This role is focused on supporting project execution through calendaring, document coordination, and internal meeting logistics. We'll lean on you to support day-to-day project needs and provide backup front desk coverage as required. You'll report to project leadership and work in coordination with the Office Manager.
*Please Note-- To be successful in this role, you'll sit onsite at the project office four days each work week.
Key Responsibilities:
Manage and coordinate calendars for assigned project managers and team leads
Prepare meeting minutes for routine client meetings
Schedule JV specific internal and external meetings as requested, prepare agendas, and coordinate logistics
Assist with office expense-specific invoice and documentation routing in coordination with the Office Manager and accounting team
Format, assemble, and distribute team or office-wide bulletins, guidance, and directives
Maintain organized electronic filing systems in compliance with our document control procedures
Provide backup front desk coverage and visitor coordination as needed (including floorplan management, building access requests, etc.)

Here's what you'll need:
Minimum 2 years' of professional administrative experience supporting teams or managers.
Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint, Teams).
Strong organizational skills and attention to detail.
Ability to manage multiple tasks in a deadline-driven environment.
Professional communication skills and ability to work across teams.
Ideally, you'll also have:
Associate degree in Business Administration or related experience.
Experience in the AEC industry or supporting infrastructure projects preferred but not required.
Familiarity with Bluebeam or document management systems.
Posted Salary Range: Minimum $41,000.00. Posted Salary Range: Upper $60,000.00.
