Key Responsibilities
Front Desk & Call Management
• Answer, screen, and route incoming calls to appropriate departments
• Provide friendly, professional support to employees and external callers
• Manage visitor check-in/check-out, issue badges, and notify employees of arrivals
• Issue temporary badges and manage inventory of badges, holders, and lanyards
• Coordinate conference room scheduling and ensure spaces are organized and maintained
Facilities & Equipment Management
• Oversee onsite fitness center operations, including equipment maintenance and member records
• Manage fleet vehicles, including registrations, service tracking, and scheduling usage
• Serve as ChargePoint Manager for onsite EV charging stations
Administrative Support
• Handle incoming and outgoing mail distribution
• Coordinate catering and setup for meetings and events
• Support new hire onboarding (badges, system access, setup)
Office Maintenance
• Order and maintain office supplies (printer, kitchen, general office)
• Restock mailroom and lunchroom supplies as needed
• Coordinate maintenance of vending machines, first aid kits, and outdoor areas with vendors
Record-Keeping & Reporting
• Maintain and update master contact lists
• Prepare reports and manage certificate distribution and follow-ups
• Scan and organize documents (receipts, safety data sheets, etc.)
• Submit and track work orders for equipment issues

Qualifications
• High school diploma or equivalent required; additional office management training is a plus
• Previous experience in a receptionist or administrative role preferred
• Strong communication and interpersonal skills
• Proficiency in Microsoft Office Suite and scheduling tools
• Excellent organizational skills with strong attention to detail
