Surgery Scheduler
The Surgery Scheduler provides front office and surgery scheduling support in a surgical specialty clinic, ensuring patients experience a smooth visit from check-in through follow-up. This role manages appointment and surgery scheduling, verifies insurance, collects payments, and delivers professional customer service to patients, families, and clinical staff. The position requires strong attention to detail, familiarity with medical terminology and electronic medical records, and the ability to work both collaboratively during training and independently thereafter.
Responsibilities
Check patients in and out for appointments in a professional and timely manner.
Assist patients with next steps after their visit, including scheduling follow-up appointments and surgeries.
Perform surgery scheduling for a surgical specialty practice, coordinating dates and times according to provider and facility availability.
Verify patient insurance coverage and benefits prior to appointments and procedures.
Collect copays and outstanding balances at the time of service and accurately post payments.
Schedule appointments and manage patient scheduling using electronic medical record (EMR) systems.
Use Athena or similar EMR software to update patient information, document visits, and manage scheduling workflows.
Provide front desk and reception support, including answering phones, greeting patients, and responding to inquiries.
Deliver excellent customer service to patients, families, and internal staff in person and over the phone.
Support general administrative and front office tasks as needed to ensure efficient clinic operations.
Apply medical terminology knowledge when communicating with patients and clinical staff about procedures and scheduling.
Coordinate patient access to services by ensuring accurate, timely, and complete scheduling information.
Essential Skills
35 years of experience in a front office and surgery scheduling role in a healthcare setting.
Demonstrated experience in a surgical specialty environment.
Proficiency in appointment scheduling and patient scheduling processes.
Experience with medical reception and front desk operations in a clinic or medical office.
Ability to perform insurance verifications and understand basic insurance requirements.
Experience collecting copays and patient balances and handling payments accurately.
Proficiency using electronic medical record (EMR) systems, preferably Athena.
Knowledge of medical terminology relevant to a surgical specialty practice.
Strong customer service skills with the ability to interact professionally with patients and staff.
High school diploma or GED equivalent.
Additional Skills & Qualifications
Bilingual skills in Spanish, Vietnamese, or Mandarin are helpful and considered a plus.
Experience as a Medical Assistant or experience supporting clinical staff is beneficial.
Experience with patient access functions, such as registration and eligibility verification, is advantageous.
Strong administrative support skills, including organization, multitasking, and attention to detail.
Ability to work independently after training while maintaining high accuracy in scheduling and documentation.
Work Environment
This is a full-time, onsite role in a surgical specialty clinic, working Monday through Friday from 8:30 a.m. to 5:00 p.m. The primary home clinic is located in Pearland, with one day of travel each week to a Kingwood location on Mondays; mileage for this travel is reimbursed. The role reports into clinic leadership and includes approximately two weeks of training before transitioning to more independent work. The work environment is a professional medical office setting that uses electronic medical records, including Athena, and standard office and clinical technologies to support patient scheduling and front desk operations. Attire is typical professional clinical or medical office wear appropriate for a patient-facing front desk role.

Pay and Benefits
The pay range for this position is $20.00 - $22.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
