Responsible To: Director of Pupil Personnel
Contract Terms: 12 months
Qualifications:
Certification: High School Diploma or equivalent
Experience: Two years of increasingly responsible secretarial and clerical experience
Basic Function:
Perform advanced-level secretarial duties requiring independent judgement and analysis for a district director or coordinator of a district-wide program or function; plan, organize and coordinate office activities and communications to relieve the director of routine administrative and clerical details.
Duties:
Files for Director of Pupil Personnel.
Assists prepare monthly student information for computer entry.
Fills and records transcript requisition data.
Maintains correspondence concerning census information.
Compiles necessary materials pertinent to the opening of the school year for distribution.
Distributes daily mail.
Assists Textbook Administrator as requested.
Completes daily, weekly and monthly typing as both requested and required by Director of Pupil Personnel.
Shares general duties with other secretaries when free time is available.
Prepares correspondence to parents and schools regarding transfers within district schools.
Prepares, distributes, maintains correspondence, lists, tabulations, etc. for programs or responsibilities under the director of the Director of Pupil Personnel.
Enters computer data information as follows:
registration of new students
re-entry and withdrawals
school attendance
census information
social security numbers
homeroom number assignments for students beginning of school year
homeroom number assignments for teachers beginning of school year
pre-registration information for kindergarten, first grade and preschool
private and parochial students both in and out of county
fixed assets inventory
corrects and updates all computer information on all programs (attendance)
prepares all student information forms for computer entry
prepares PA-2's and PA-3's for distribution to schools
files data for Directors of Pupil Personnel
Xerox materials requested by Directors of Pupil Personnel for distribution (Attendance Reports and School Calendar, etc.)
answers telephone
does typing for Directors of Pupil Personnel
updates demographic codes
Punctual and regular in attendance.
Knowledge of:
- Modern office practices, procedures and equipment.
- Applicable sections of Kentucky Administrative Regulations and other applicable laws.
- District organization, operations, policies and objectives.
- Organization, rules, regulations and programs related to an assigned office or function.
- Operation of a computer terminal and data entry techniques.
- Software applications used by the district, including word processing and spreadsheets.
- Financial and statistical record-keeping techniques.
- Basic budget monitoring and control.
- Telephone techniques and etiquette.
- Financial and statistical record-keeping techniques.
- Correct English usage, grammar, spelling, punctuation and vocabulary.
- Interpersonal skills using tact, patience and courtesy.
Ability to:
- Perform advanced-level secretarial duties requiring independent judgement and analysis.
- Plan, organize and coordinate office activities and communications to relieve the director of routine administrative and clerical details.
- Work independently with little direction.
- Type at an acceptable rate of speed.
