Federal Programs Bookkeeper

Responsible To: Superintendent of Education
Reports To: Coordinator of Federal Programs
Qualifications:
High School Diploma with additional college level work in business courses preferred.
At least three years of prior bookkeeping experience, preferred.
Proficient in the use of microcomputers to include spreadsheet, database, and word processing applications.
Knowledge of basic office procedures and equipment.
Effective written and oral communication skills are required.
Such alternatives to the above qualifications as the Board may find appropriate and acceptable.
Performance Responsibilities/Essential Functions:
Assist in preparing the required annual Consolidated Application for Federal Funds.
Obtain purchase orders and manage purchases with federal program monies.
Assist in organizing school and district Federal Programs Committees, to include scheduling, preparing agendas and keeping minutes of meetings.
Assist Coordinator of Federal Programs in maintaining required paperwork for state and federal audits required by Federal Programs.
Work with district and school Title I staff in the area of federal funding support, Federal budgets, Parental Involvement, and inventory.
Assist in preparing financial information needed to apply for any federal funding.
Assist in preparing the required reports for any federal funds awarded to the District.
Assist in organizing and maintaining financial records for all federal funds.
Assist in maintaining required paperwork for federal audits in relation to all federal funds.
Assist with clerical duties as required by local, state and federal guidance.
Maintain files and a systematic set of records for financial transactions and processes related to federal programs.
Participate and/or assist in special projects, and perform associated administrative duties, as assigned.
Maintain a current inventory of all fixed assets purchased with federal funds, update inventory annually and assign inventory control numbers to all fixed assets upon receipt.
Assist in preparing, monitoring and entering annual budgets and budget amendments for all Federal Programs, including, but not limited to state and federal allocations.
Prepare monthly budget updates for all federal funds and meet on a routine basis with federal programs and grants administrators to monitor and update appropriate budgets.
Input monthly Review/monitor contracts and time sheets for federal monies spent on tutoring, after school programs and summer programs.
Maintain appropriate confidentiality regarding school/workplace matters.
Engage in professional growth and demonstrate professional ethics.
Model non-discriminatory practices in all activities.
Perform other duties as assigned.
Job Goal:
To provide assistance necessary for the efficient operation of the Chapter I Center and the efficient operation of the programs under the supervision of the Coordinator of Federal Programs.
