Executive Assistant
Brigham Young University's College of Computational, Mathematical, & Physical Sciences is seeking an exceptional Executive Assistant to support external relations efforts in the Dean's Office. This person will be an important partner in building and strengthening relationships with alumni, donors, industry partners, and other friends of the college. The ideal candidate is proactive, polished, organized, and deeply service-orientedsomeone who can work independently, solve problems, manage details, host guests well, and represent the college with professionalism and warmth. What you'll do in this position:
Provide high-level administrative support to the Assistant Dean for External Relations.
Manage calendars, meetings, scheduling, correspondence, and follow-up tasks.
Manage multiple priorities and adapt to changing workloads, including both quieter periods and busy seasons.
Support other special projects and administrative needs related to external relations as assigned.
Draft, edit, and send professional communications to donors, alumni, students, campus partners, and other external stakeholders.
Serve as a welcoming and professional point of contact by phone, email, and in person.
Support outreach initiatives, communications, and mass email efforts tied to alumni and donor engagement.
Coordinate logistics for campus visits, meetings, events, and hosted guests, including itineraries, reservations, materials, and hospitality details.
Assist with relationship management efforts by maintaining accurate records and updates in a CRM.
Anticipate needs, identify gaps, solve problems, and take initiative to improve processes and support office priorities.
Handle sensitive and confidential information with discretion and professionalism.

Outstanding interpersonal and customer service skills.
Ability to interact with a wide range of individuals, including donors, alumni, students, faculty, staff, and campus visitors.
Ability to manage multiple tasks, deadlines, and logistics with accuracy and calm professionalism.
Confidence in learning and using new technologies, including CRM platforms, databases, and other office systems.
Ability to coordinate guest experiences and represent the college well in hosting situations.
Commitment to confidentiality, professionalism, and service.
Preferred:
Bachelor's degree and experience in executive support, higher education, customer relations, or external relations
Experience supporting an executive, administrator, or office leader in an administrative or executive assistant role.
Experience coordinating meetings, events, travel, or guest hospitality.
Experience with donor relations, alumni relations, customer service, or other relationship-centered work is helpful.
Experience using office software, databases, CRMs, and other communication tools.
Experience working in a university, nonprofit, advancement, or professional office environment is preferred.
