Accounts Payable Specialist

Compensation: $45,000 - $55,000/year
Position Overview
The Accounts Payable Specialist is responsible for managing day‑to‑day accounts payable operations, including invoice entry and coding, payment processing, vendor reconciliation, and annual tax reporting. This role supports the broader finance team by maintaining accurate financial records, ensuring compliance with regulatory requirements, and assisting with audits and special projects. The ideal candidate is detail‑oriented, collaborative, and comfortable working in a fast‑paced environment.
Key Responsibilities
Accounts Payable Processing
- Enter vendor invoices for approval and ensure accurate general ledger coding
- Download invoices from vendor portals and websites
- Process weekly vendor payments and record automated payments in the general ledger
- Print and process weekly patient refunds
- Reconcile vendor statements and communicate with vendors to resolve discrepancies
- Prepare annual 1099 reporting
- Maintain petty cash and support compliance with applicable regulatory guidelines
- Perform additional duties as assigned
Collaboration & Process Improvement
- Collaborate with members of the finance team and other departments to support organizational initiatives
- Proactively identify issues and recommend improvements to enhance efficiency and accuracy
- Communicate concerns or process gaps to department leadership
- Manage workload effectively, prioritize tasks, and demonstrate responsible financial stewardship
Qualifications
Education & Experience
- Minimum of 2 years of related accounts payable experience
- Experience with accounting systems such as Sage Intacct
Knowledge, Skills & Abilities
- High attention to detail and accuracy
- Intermediate proficiency in Microsoft Excel, including formulas and pivot tables
- Strong critical thinking, problem‑solving, and reasoning skills
- Excellent written and verbal communication skills
- Strong ethical standards and commitment to confidentiality
