ACCOUNTING CLERK

We are seeking a detail-oriented and highly organized Accounting Clerk with extensive Accounts Payable (AP) responsibilities. This role is responsible for managing the full-cycle AP process, ensuring accurate and timely payment of invoices, maintaining strong vendor relationships, and supporting the overall accounting function. The ideal candidate has strong analytical skills, excellent attention to detail, and the ability to work efficiently in a fast-paced environment.


OVERVIEW OF THE ACCOUNTING CLERK ROLE:



  • Process high-volume vendor invoices accurately and timely

  • Perform three-way matching (purchase order, receipt, invoice)

  • The Accounting Clerk will review invoices for proper coding, approvals, and compliance with company policies

  • Resolve invoice discrepancies and vendor inquiries

  • Maintain vendor master files, including W-9s and payment terms

  • Prepare and process weekly check runs, ACH payments, and wire transfers

  • Ensure timely payment of vendors to maximize discounts and maintain positive relationships

  • The Accounting Clerk will reconcile vendor statements and investigate outstanding balances

  • Monitor AP aging and follow up on open items

  • Assist with month-end and year-end closing related to AP

  • Prepare and issue 1099 forms in compliance with IRS regulations

  • The Accounting Clerk will assist with general ledger entries and account reconciliations

  • Assist with bank reconciliations


PREFERRED QUALIFICATIONS FOR THE ACCOUNTING CLERK:



  • Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred

  • 2+ years of accounting experience, with strong emphasis on Accounts Payable

  • Experience processing high-volume invoices

  • Proficiency in accounting software (e.g., QuickBooks, NetSuite, SAP, or similar ERP systems)

  • Strong Microsoft Excel skills (pivot tables, VLOOKUP/XLOOKUP preferred)

  • Strong organizational and time-management skills
