Position Purpose

The Registration & Reservations Manager supports mission-driven, place-based education by overseeing registration and reservation processes across core program areas: Wildlife Expeditions, Field Education, Professional Learning, and Mountain Academy registration. This role ensures a high-quality customer experience for families, schools, and partners while maintaining accurate data, clear communication, and efficient enrollment systems.
Key Responsibilities

Wildlife Expeditions & Field Program Reservations

Manage the end-to-end reservations process for Wildlife Expeditions
Serve as the primary point of contact for partners regarding program availability, pricing, logistics, and registration requirements
Coordinate closely with program to confirm schedules, capacities, staffing, and special needs
Maintain accurate reservation data in registration and CRM systems
Prepare contracts, confirmations, invoices, and pre-program communications as needed
Support program adjustments, cancellations, and waitlists while ensuring a positive customer experience
Open Enrollment Registration (Field Education and Professional Learning)

Manage open enrollment registration processes for Open Enrollment Field Education and Professional Learning programs including the creation of these programs in ASAP or other system(s), ensuring information is accurate and complete in Salesforce, and assisting with any reporting needs for these program areas
Support customers through the enrollment lifecycle, including inquiries, registration, and support communications
Track enrollment numbers, waitlists, and capacity in collaboration with program directors
Ensure accuracy and completeness of forms
Collaborate with admissions, finance, and program areas to support billing and enrollment reporting
Assist with enrollment events, information sessions, and seasonal registration cycles
Mountain Academy School Registration

Oversee registration processes for Mountain Academy students
Serve as a key contact for current and prospective families regarding registration timelines, requirements, and policies
Support annual re-enrollment cycles, new family onboarding, and mid-year enrollment changes
Assists teachers with records as needed
General & Administrative Responsibilities

Maintain accurate and confidential records across all registration systems
Develop and refine registration workflows, templates, and documentation
Provide exceptional customer service to families, educators, and partners
Support cross-program communication and consistency in enrollment practices
Assist with special projects related to enrollment growth, system improvements, or reporting
Uphold organizational values and contribute to a collaborative team culture
One TSS Responsibilities

Positively represent the TSS mission and programs during all outreach and partner-facing interactions.
Uphold strong data integrity and contribute to organization-wide data practices.
Cross-market programs and contribute to a culturally competent, inclusive work environment.
Participate in trainings, team meetings, and collaborative initiatives that strengthen organizational culture and operations.
Qualifications

Strong organizational and time-management skills with attention to detail
Excellent written and verbal communication skills
Experience in registration, reservations, admissions, or customer service preferred
Ability to manage multiple priorities across different programs and seasonal cycles
Proficiency with databases, spreadsheets, and registration or CRM systems
Ability to work both independently and collaboratively
Working Conditions & Physical Requirements

Ability to write, type, speak, and communicate clearly.
Position will be based at Jackson Campus, with occasional travel for partner meetings, conferences, and events.
Ability to sit/stand for extended periods and represent TSS professionally in diverse settings.
