We are seeking an

Exhibits/Events Coordinator

& Purchasing Agent

to support the successful execution of exhibit and trade show projects by coordinating labor, schedules, logistics, and administrative processes. This role ensures projects are properly staffed, documented, and delivered efficiently while maintaining alignment with budgets, timelines, and internal systems.

Key Responsibilities:
Maintain schedules, forecast staffing, coordinate travel/logistics, track time logs, and manage records.
Prepare reports, assist with planning, manage communications, and support leadership initiatives.
Track labor hours, generate reports, forecast needs, and ensure accuracy.
Manage project management program - Basecamp records, monitor tasks, administer users, and maintain documentation.
Coordinate onboarding, set up time tracking, and source subcontract labor.
Identify and source necessary goods and services for events and office operations.
Obtain quotes from multiple vendors and negotiate favorable pricing and terms.
Prepare and process purchase orders and track their status.
Maintain accurate purchasing records and documentation.
Ensure timely delivery of purchased goods and services.
Manage vendor relationships and evaluate vendor performance.
Adhere to budget constraints and seek cost-saving opportunities.
Collaborate with internal teams to understand their purchasing needs.
Manage per diem distribution and reconciliation per SOPs.

Qualifications/Requirements:
Local to South Florida and willing to work in an office Monday-Friday with additional overtime hours, as needed.
Associate degree or equivalent work experience.
Minimum 2 years’ experience in vendor coordination, logistics, and purchasing, or a combination thereof.
3-5 years’ experience in project coordination (exhibits, fabrication and/or construction).
Application knowledge and experience with the Office365 ecosystem (with a focus on Microsoft Excel)
Strong organizational and interpersonal skill with proven negotiation and problem-solving abilities.
Comfortable with prolonged periods of sitting at a desk and working in/around a warehouse facility.
Proven ability to thrive in a fast-paced environment.
Capable of lifting up to 10lbs.
