Job Overview
The Administrative Support Assistant II provides administrative support for leadership operations and administrative processes within Cooperative Extension. This position assists with coordination of travel logistics, preparation of documentation for administrative processes, and general administrative workflow support. The role supports administrative activities by maintaining documentation, assisting with scheduling and logistics, and providing support for institutional administrative processes under the direction of the Administrative Support Manager.

Duties & Responsibilities
Administrative Support for Leadership Activities
Assist with coordination of travel arrangements and logistics for Associate Directors and leadership staff in accordance with University travel policies.
Provide support for scheduling meetings, maintaining calendars, and preparing meeting materials.
Assist with logistical coordination for leadership meetings, retreats, and administrative events.
Administrative Process Support
Assist with preparation and organization of documentation associated with faculty review processes such as Continuing Status packets.
Maintain records and assist with tracking submission timelines for administrative processes.
Support communication related to administrative documentation and scheduling of review activities.
Administrative Operations Support
Maintain administrative records and documentation supporting leadership operations.
Assist with monitoring administrative deadlines and maintaining organizational files.
Provide support for preparation of reports, summaries, and administrative documentation.
Unit Coordination and Communication
Provide administrative assistance supporting communication across leadership staff and administrative teams.
Assist with coordination of meetings and operational activities within the unit.
Provide administrative support for projects and initiatives as assigned.
Knowledge, Skills, and Abilities (KSAs)
Ability to assist with coordination of administrative tasks and activities.
Strong organizational and record‑keeping skills.
Ability to maintain confidentiality and manage sensitive information.
Ability to communicate effectively with faculty, staff, and leadership.
Ability to work within established procedures and guidelines.
Proficiency with standard office and administrative software.
Strong organizational and communication skills.

Minimum Qualifications
High School diploma or high school diploma equivalency is required.
