Legal Support Specialist – Garden City, NY

A premier law firm is seeking a highly skilled Legal Support Specialist to join our Garden City office. This is a full-time, in‑office role designed for a proactive professional who thrives in a fast‑paced, deadline‑driven environment.

Position Summary

The Legal Support Specialist provides high‑level administrative and secretarial support to attorneys within the Real Estate Land Use and Litigation practice areas. The ideal candidate balances technical precision with a client‑focused mindset to drive efficiency across complex matters.

Key Responsibilities

Document Management: Edit, proofread, and process legal documents, including correspondence, memoranda, and presentations.

Land Use & Zoning: Coordinate and file application materials with local government bodies, zoning boards, and planning commissions; prepare zoning lists and manage resident mailings.

Litigation Support: Prepare and e‑file pleadings and exhibits in State and Federal courts.

Practice Coordination: Manage attorney calendars, travel arrangements, and new client intake (conflict checks/engagement letters).

Workflow Tracking: Maintain tracking tools for assignments and deadlines; provide proactive status updates to the legal team.

Financial Admin: Assist with billing activities, invoice proofreading, and expense reimbursement.

Liaison: Communicate professionally with municipal staff, third‑party consultants, and clients.

Qualifications

Experience: 8+ years of experience in Real Estate Land Use or Litigation; law firm experience is highly preferred.

Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and document management systems.

E‑Filing Expertise: Demonstrated experience with e‑filing procedures in State and Federal courts.

Competencies: Exceptional attention to detail, strong organizational skills, and the ability to work independently with minimal supervision.

Flexibility: Ability to work a full‑time schedule with flexibility for occasional overtime to meet project deadlines.

Education:

Bachelor’s degree or equivalent professional experience preferred.
