Job Summary
The Accounting Support Specialist is a blended accounting and member-service role designed for a private country club environment. This position serves as a concierge-style point of contact within the accounting office, delivering personalized service to members while supporting accurate, timely, and well-controlled financial processes—particularly related to club events and specialty billing.
Working directly under the Controller, the Accounting Support Specialist coordinates event billing, supports event booking and reporting, performs general ledger reconciliations, and assists in maintaining strong internal controls. This role requires both strong accounting fundamentals and a hospitality-first mindset, ensuring members receive exceptional service while financial integrity is maintained.
Essential Duties and Responsibilities
Greet members professionally as they arrive at the club and serve as a welcoming point of contact
Answer incoming phone calls and member inquiries related to billing, events, and account questions
Provide personalized, high-touch service to members with professionalism, discretion, and attention to detail
Coordinate closely with events, food & beverage, and operations teams to ensure accurate member experiences
Event Coordination & Specialty Billing
Coordinate billing for club events, including private events, tournaments, banquets, and member functions
Assist with event booking support in collaboration with club operations and events staff
Prepare, review, and post event-related charges accurately and timely
Reconcile event deposits, payments, and final billings
Produce event-related billing reports and summaries for management review
Accounting & General Ledger Support
Prepare and maintain general ledger account reconciliations related to events, deposits, receivables, and clearing accounts
Assist with month-end close activities related to event revenue and member billings
Support accurate coding and documentation of event-related revenues and payments
Internal Controls & Process Improvement
Support the Controller in establishing, documenting, and maintaining best practices for event billing, payments, and controls
Assist in reviewing workflows to ensure proper segregation of duties related to booking, billing, and payment application
Identify opportunities to improve accuracy, efficiency, and member experience within accounting processes
Administrative & Cross-Functional Support
Serve as a liaison between accounting, events, and club leadership
Provide backup support for member billing, assisting with billing cycles and member inquiries as needed
Support new member orientation by explaining billing processes, payment options, and account statements
Perform reconciliation of initiation fees and installment payment plans to ensure accuracy and proper application
Provide backup support for other accounting functions as needed
Assist with special projects and reporting at the direction of the Controller
Required Qualifications
Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field
2–4 years of accounting, billing, or financial administrative experience
Strong customer service skills with a professional and polished demeanor
Working knowledge of basic accounting principles and reconciliations
Proficiency in Microsoft Excel and accounting or club management systems
Excellent verbal and written communication skills
High attention to detail and commitment to accuracy
Preferred Qualifications
Experience in a private club, hospitality, or service-focused environment
Exposure to event billing or specialty billing processes
Familiarity with club management or ERP systems (e.g., Jonas, Club Essentials, NetSuite, Sage, or similar)
Experience supporting internal controls or audit preparation
Hospitality mindset with strong member-service orientation
Accuracy and financial diligence
Organization and time management
Professional judgment and discretion
Adaptability in a dynamic, member-facing environment
This role operates in a professional office setting within a private country club. Regular interaction with club members and coordination with events and operations staff is required. Flexibility may be needed during peak event periods, month-end close, or special club functions.
