Job Description
We are seeking a highly organized and proactive Operations Manager to oversee and enhance daily office and divisional operations while developing into a strategic leadership role. This position plays a critical role in driving operational efficiency, supporting clinical and administrative teams, and ensuring alignment with organizational goals.
The ideal candidate is not only detail-oriented and reliable, but also demonstrates initiative, problem-solving capabilities, and a desire to grow into a leadership position. This role offers the opportunity to influence processes, support team development, and contribute to long‑term operational success in a fast‑paced healthcare environment.

Responsibilities
Coordinate and optimize daily administrative and operational workflows to ensure efficiency and consistency
Serve as a central point of communication, managing and prioritizing calls, emails, and internal coordination
Manage complex scheduling, including meetings, provider calendars, and departmental priorities
Prepare, analyze, and refine documents, reports, and presentations to support leadership decision‑making
Analyze and identify trends in KPI reports
Oversee office supply management and vendor coordination to maintain operational continuity
Participate in the recruitment and interview process for new surgical coordinators, contributing to hiring decisions
Lead onboarding and training of surgical coordinators, ensuring competency, consistency, and adherence to best practices
Develop and refine training materials and workflows to improve coordinator performance and efficiency over time
Manage travel reimbursements for General Surgery and Colorectal providers with accuracy and timeliness
Ensure adherence to division and organizational policies, identifying opportunities for process improvement
Maintain strict confidentiality while handling sensitive and strategic information
Partner with HR team to support onboarding and integration of new providers and fellows, improving the onboarding experience over time
Partner with Program Administrators and Program Directors to support the coordination, operations, and ongoing success of the fellowship/resident programs
Track and maintain scholarly activity data, ensuring accuracy and timely updates
Act as a liaison between the Division Administrator, Clinical Manager, and broader team to support alignment and execution
Partner with Clinical Manager to proactively identify, troubleshoot, and resolve clinical workflow issues, identify root causes, and implement effective solutions
Lead or support special projects, with increasing ownership of initiatives that improve operations and team effectiveness
Qualifications
Minimum Qualifications
Bachelor's degree -OR- equivalent combination of education and experience.
Degree Equivalency Clause (SB 1310)
Four years of direct experience for a bachelor’s degree.
The Florida Senate (SB 1310) is conditional upon meeting all employment eligibility requirements in the U.S.
SB 1310: Substitution of Work Experience for Postsecondary Education Requirements.
A public employer may include a postsecondary degree as a baseline requirement only as an alternative to the number of years of direct experience required, not to exceed:
(a) Two years of direct experience for an associate degree;
(b) Four years of direct experience for a bachelor’s degree;
(c) Six years of direct experience for a master’s degree;
(d) Seven years of direct experience for a professional degree; or
(e) Nine years of direct experience for a doctoral degree.
Related work experience may not substitute for any required licensure, certification, or registration required for the position of employment as established by the public employer and indicated in the advertised description of the position of employment.
Minimum Qualifications that require a high school diploma are exempt from SB 1310.
Preferred Qualifications
Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
Experience with Office Management Systems, EMR or CRM platform
Strong organizational and time management skills
Ability to manage multiple priorities in a dynamic environment
