Job Description
Our client is seeking an experienced Executive Assistant to provide comprehensive administrative support to senior leaders and investment professionals. This individual will play a key role in maintaining efficiency across leadership operations, managing complex logistics, and ensuring day‑to‑day activities run smoothly. The ideal candidate is proactive, resourceful, and thrives in a dynamic environment that requires discretion and sound judgment.
Key Responsibilities
Manage complex, fast‑moving calendars for multiple senior executives, ensuring priorities are aligned and time is used strategically
Coordinate detailed domestic and international travel arrangements, including flights, accommodations, ground transportation, and comprehensive itineraries
Anticipate scheduling conflicts and adjust plans proactively as business needs evolve
Plan and facilitate logistics for leadership meetings, board meetings, and external stakeholder engagements
Serve as a primary point of contact for executives, maintaining strong communication with internal teams and external partners
Prepare, submit, and reconcile expense reports through Concur with accuracy and timeliness
Provide support for general office operations and assist with vendor coordination when needed
Maintain organized records and documentation to ensure efficient day‑to‑day workflow
Handle sensitive financial and business information with a high level of discretion and professionalism
Apply sound judgment when managing communications, correspondence, and confidential materials
Qualifications
4–6+ years of experience in an Executive Assistant or Senior Administrative role
Experience supporting multiple executives or senior leaders simultaneously
Advanced proficiency in Microsoft Outlook with heavy calendaring experience
Strong experience coordinating complex travel arrangements
Experience using Concur for expense reporting
Excellent written and verbal communication skills
Highly organized with strong time management and prioritization abilities
Self‑motivated, dependable, and comfortable working both independently and collaboratively
