Administrative Assistant To The Business Office

The Brandywine Heights Area School District (Berks County, PA) is seeking an Administrative Assistant to the Business Office. This position supports the efficient operation of the Business Office and serves as the primary administrative assistant to the Business Manager. Responsibilities include acting as the initial point of contact and assisting with a variety of general Business Office functions.
Minimum Qualifications:
High School Graduate plus 1-2 years of relevant experience; Associates Degree in Business is a plus.
Experience with Microsoft Office and Google Suite of productions with a strength in Excel.
Demonstrated competence in composition and editing skills including spelling, grammar, and punctuation.
Demonstrated ability to perform data entry and analyze information with accuracy.
Proficient use of program technology to compile, edit, verify, and publish reports and documents in appropriate format (letters, reports, publications) using word processing, database, spreadsheet, and graphic applications.
Ability to deal effectively and courteously with associates and the public as well as discretion in handling confidential district information.
Reports To: Business Manager
Essential Functions:
Maintains all files including but not limited to district liability insurance, claims and settlement agreements.
Meters and distributes district mail, incoming and outgoing as well as checking in deliveries from UPS and FedEx.
Performs confidential functions and assumes other responsibilities as assigned.
Secure and process photo ID cards for new employees and print replacement cards as needed.
Revise Business Office and Buildings and Grounds website content per Business Manager or designee's direction.
Assists in the preparation and updating of a variety of records and reports for school districts in Food Service via Free/Reduced Breakfast and Lunch program for state auditing, documenting activities, providing written reference, and/or conveying information.
Attends department and/or in-service meetings for the purpose of conveying and/or gathering information required to perform functions.
Interacts with internal and external persons (e.g. phone, email, in person, etc.) for the purpose of receiving and/or conveying information.
Maintains inventory of supplies and materials (e.g. forms, office supplies, etc.) for the purpose of ensuring items' availability.
Support assigned administrator(s) within the Business Office, Curriculum & Instruction, Buildings and Grounds, for the purpose of assisting with administrative functions, such as C&I purchasing and Facilities purchasing and budgeting.
Serve as an assistant to the Food Service & Transportation Coordinator. Act as backup when Transportation is out of the office. Fill in for other office personnel in their absence. Performs confidential functions and assumes other responsibilities as approved by the Business Manager.
Schedule: Full Time, 8 hours per day; 12-month position (260 days)
Salary/Benefits: $40,000-$45,000 based on experience. Estimated Start Date: Immediately following School Board approval and satisfactory completion of pre-employment requirements.
