Job Description
What You Get To Do
Organizes meetings, conferences, workshops, training programs and special events; includes all facets of meeting planning, research, and negotiations for off-site locations; hotel rooms, catering, flights and ground transportation; preparing materials and presentations; coordinating activities and agenda/meeting notices; IT and AV support
Coordinates complex and detailed travel arrangements which can include domestic and international airfare, hotel and ground transportation; creating travel itineraries and agendas; and compiling documents for travel related meetings
Performs high level executive and operational support; researches, prioritizes, and follows up on incoming issues and concerns addressed to the AFC&D Executive/s, including those of a sensitive or confidential nature; determines appropriate course of action, referral, or response
Manages and maintains extremely active calendars; schedules meetings, conferences, and appointments; manages conflicts and adjusts to changes in a fast paced environment
Serves as the primary contact for internal and external customers, while exercising good judgement and discretion in a wide variety of situations; provides "gatekeeper" and "get-a-way" role to maximize the Leaders' time
Assists in completing critical aspects of deliverables with a hands-on and multi-tasking approach, including preparing reports, spreadsheets, presentations, and correspondence and other work products that facilitate the AFC&D Executive's ability to effectively lead their respective area of accountability; these work deliverables may have GMT or Investor Relations visibility
Arranges passports and visas for the AFC&D Executive and Leadership team (where applicable)
Prepares and schedules expense reports for AFC&D Executive/s where required
Maintains and updates SharePoint site, distribution lists, and organizational charts
Special projects as assigned

What We Want From You
Bachelor's degree
4 years of relevant experience (or Associate's degree with 5-7 years relevant experience)
Requires the ability to maintain a high degree of confidentiality and integrity
Requires high proficiency in the Microsoft Office Suite, Adobe, Photoshop, PowerPoint, and Illustrator
Capable of working extra hours whenever necessary
