The Senate Sergeant at Arms (SAA) is seeking a detail‑oriented and service‑driven Logistics and Operations Specialist to join the Printing, Graphics, and Direct Mail (PGDM) team. This role supports both internal Senate operations and constituent services by coordinating the packaging and processing of flag requests.

Job Overview
This Specialist will manage online and in‑person flag requests, ensuring each request is handled with precision and timeliness. Responsibilities include maintaining accurate records, packaging materials for distribution, advising on USPS, FedEx, and UPS standards, and coordinating supply needs. Additional duties cover inventory management, data entry, and coordination of procurement for equipment and supplies.

Key Accountabilities / Essential Job Duties

Create, manage, and monitor purchase orders for equipment and supplies, and assist with renewal and cancellation of contracts.

Perform receiving, staging, and storage procedures for equipment and materials.

Track and fulfill inventory requests, locate requested items using pick tickets and filing reports.

Support office packaging of oversized items and order/delivery of packaging materials.

Adhere to USPS standards for packaging, labeling, weighing, and addressing of priority items.

Update inventory management system and enter/maintain data for tracking equipment and supplies.

Research and process invoices, POs, and contracts, generating reports as needed.

Handle all aspects of flag processing, including job management, order accuracy, postage calculation, and delivery.

Communicate with Senate customers, the Secretary of the Senate, and AOC contacts regarding flag services.

Perform other related duties as assigned.

Job Specifications
Required Education
High school diploma (or GED).

Required Work Experience

One to three years of experience with office equipment operations and basic inventory methods.

Required Special Skills / Knowledge

Knowledge of modern inventory control, materials management, and asset management practices.

Ability to learn procurement rules and regulations for Senate financial and inventory systems.

Proficiency with office equipment, computers, related software/web applications, spreadsheets, and databases.

Accurate computerized record keeping.

Minor equipment repair skills.

Ability to understand and follow oral and written instructions.

Effective relationship building with supervisors, coworkers, and customers.

Physical strength, agility, and dexterity required.

Knowledge of traffic routes and locations of government buildings in Washington, D.C., in confined spaces.

Excellent communication skills.

Potential for sudden recall during emergency events, including after‑hours or weekend work, and deployment to alternate sites.

Valid driver’s license for at least three years and a good driving record.

Ability to work on elevated stock picker 30 ft. above ground level.

Pallet jack certification.

Working Conditions

Onsite presence required during Senate sessions; availability for lapses, inclement weather, holidays, weekends, and late nights.

Positions considered excepted during government furloughs.

Frequent movement, bending, crawling, and standing for long durations.

Handling boxes or equipment weighing less than 50 lb.

Exposure to excessive noise.

Operation of powered industrial trucks (e.g., forklifts, pallet jacks, scissor lifts).

Uniform wear required.
