About the Role
The incumbent serves as the front desk receptionist and administrative support in a high‑call‑volume office, acting as the first point of contact for the Boards of Acupuncture, Massage Therapy, Osteopathic Medicine, Speech‑Language Pathology and Audiology, and the Council of Licensed Midwifery. Frequent interaction with the public by phone, email, and in person and efficient management of multiple priorities in a fast‑paced environment are required.

Responsibilities

Answer and route high volume of incoming calls, provide general information, and direct inquiries to appropriate board staff.

Provide general licensing status information and requirements to customers via email and paper mail.

Manage shared inboxes and monitor incoming electronic correspondence to ensure timely review and routing.

Process, file, and distribute incoming mail and support document management for the Board office.

Review information in the Division’s Licensing and Enforcement Database (LEIDS), Customer Functional Database, and other associated systems and websites to respond to customer inquiries.

Maintain current information on licensees by independently reviewing documentation and making required changes in LEIDS and related systems.

Respond to licensees with written verification when a change has been completed, while maintaining confidentiality.

Assist supervisors and administrators with administrative and clerical tasks as needed to support efficient board operations.

Required Knowledge, Skills, and Abilities

Ability to learn Florida Statutes and Board and Department rules governing licensing and regulation of professionals and facilities, and consumer protection.

Knowledge and proficiency in Microsoft Office software.

Knowledge and proficiency in using Windows‑based computers.

Ability to learn and utilize job‑specific software such as LEIDS and AxiomPro, and office equipment such as phones, fax machines, scanners, and copiers.

Ability to compile, organize, and analyze data.

Ability to provide consultative assistance to others.

Ability to plan, organize, and coordinate work activities on a pre‑approved work schedule.

Ability to communicate and deal with people effectively.

Ability to establish and maintain effective working relationships with others.

Minimum Qualifications

Must be physically present in the office to effectively perform job duties and responsibilities.
