Department Assistant - Finance (Kansas City, MO)

The Department Assistant will provide administrative support to department management, ensuring continuity of daily department functions and operations through collaboration and presentation of information. The role coordinates with department leadership to deliver services aligned with business and departmental objectives.

Responsibilities

Facilitate the dissemination of information to Finance departments as part of overall communications and department management.

Manage calendars and scheduling for department leadership, including coordinating meetings, prioritizing requests, and proactively resolving conflicts.

Coordinate travel arrangements and prepare, submit, and reconcile expense reports in accordance with company policies.

Resolve questions regarding the department, researching and providing appropriate answers.

Prepare presentations, communications, meeting notes and tables using Excel, PowerPoint, Canva, Word, SharePoint and other programs.

Develop procedures related to departmental and business line requirements and assist in tracking and reporting business initiatives.

Monitor department deadlines and benchmarks, supporting presentation of monthly progress reports, tracking action items and progress updates.

Plan, coordinate and facilitate on-site and off‑site meetings for the department, including orientation, training, stakeholder and management meetings.

Coordinate required training programs and records for department personnel in conjunction with the corporate training department to ensure compliance.

Assemble information for business plans and financial reports, resulting in final submissions.

Monitor, review, and approve standard expenditures to keep activities within established budgets.

Prepare a variety of communications including emails, meeting agendas and slide decks.

Handle sensitive and confidential information with discretion.

Coordinate department‑related issues and complaints, such as operational resources, work stations, space assignments, and supplies, ensuring resolution.

Perform other duties as assigned.

Comply with all policies and standards.

Qualifications

High School Diploma or GED required.

Preferred 2–3 years of experience supporting senior‑level leadership or executives.

Preferred experience supporting Finance departments.

Advanced knowledge of Microsoft Word, Excel, and PowerPoint required; familiarity with Canva preferred.

Ability to work independently, demonstrating accuracy, reliability, and problem‑solving skills.

Excellent organization, attention to detail, verbal and written communication, and multitasking abilities.

Demonstrated professional communication with all organizational levels and external stakeholders.
