
School Registrar

The School Registrar is responsible for maintaining accurate and secure student records in compliance with district, state, and federal regulations. This position manages student enrollment, withdrawals, and transfers while ensuring proper documentation and data entry in the student information system. The Registrar serves as a key point of contact for parents, staff, and external agencies regarding student records.
Essential Duties and Responsibilities
Manage student enrollment, withdrawal, and transfer processes in accordance with district procedures and
Mississippi Department of Education
guidelines.
Maintain accurate and up-to-date cumulative student records, both electronic and hard copy.
Verify and process required documentation, including proof of residency, immunization records, birth certificates, and custody documents.
Enter and update student information in the district's student information system with a high level of accuracy.
Ensure compliance with the
Family Educational Rights and Privacy Act
(FERPA) regarding the confidentiality and release of student records.
Respond to requests for student records from parents, schools, and authorized agencies in a timely manner.
Coordinate the transfer of student records between schools and districts.
Maintain enrollment reports and assist with data verification for state reporting.
Provide clerical support to the school office as needed.
Communicate effectively with parents, guardians, and staff regarding enrollment procedures and record requirements.
Assist with attendance tracking and reporting, as assigned.
Perform other duties as assigned by the principal or designee.
Qualifications
High school diploma or equivalent required; associate degree or higher preferred.
Experience in clerical, administrative, or school office work preferred.
Knowledge of student information systems and general office software.
Strong organizational skills and attention to detail.
Ability to maintain confidentiality and handle sensitive information.
Effective communication and customer service skills.
Physical Demands
Ability to sit for extended periods while working on a computer.
Occasional standing, walking, bending, and lifting up to 20 pounds.
Working Conditions
Office environment within an elementary school setting.
Regular interaction with students, parents, and staff.
Terms of Employment
200-day contract per school year.
Salary and benefits established by the district salary schedule.
