This is a twelve‑month position in the Chief Educational Program Officer’s office of the Columbia Campus of the Maryland School for the Deaf. The Maryland School for the Deaf provides an inclusive, language‑rich environment for deaf and hard of hearing students from birth through age 21. Rooted in a bilingual education approach, we ensure full access to American Sign Language and English across comprehensive academic, extracurricular, and student life programs. In partnership with families and communities, we empower students to think critically and develop a sense of self and belonging.

Main Purpose of Job
The Administrative Aide performs a variety of complex secretarial, clerical, and office management duties for the Chief Educational Program Officer’s office.

POSITION DUTIES

Maintains front desk coverage, manages entry to the building for all visitors, and responds to phone calls to the main office.

Acts as the Database Manager for the student information system, including student registration, student attendance, and report cards.

Coordinates substitute coverage for all departments and supports other secretaries.

Processes and maintains logs for field trips, purchase orders, and supply room requests.

Creates flyers, prepares and distributes the weekly staff newsletter, and processes all campus mail.

Assists with duties that relate to lunch ticket sales for staff, daily student transportation, internships, volunteers, and campus events.

Supports the Chief Educational Programs Officer’s office operational needs.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years performing secretarial work or clerical work involving typing duties.

Additional secretarial or clerical experience may be substituted on a year‑for‑year basis for the required education.

Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

Candidates may substitute U.S. Armed Forces military service experience as a non‑commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year‑for‑year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Proficient in or able to carry a conversation in American Sign Language.

Candidates should be able to use a video phone.

SPECIAL REQUIREMENTS
Demonstrated ability to accurately type on a keyboard on a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
