This is a full time role with the hours of 8:30AM-5PM.
This position is based out of Dayton, Ohio.
Job Summary/Purpose
The Foundation Assistant & Donor Analyst serves a dual role supporting the President of the Foundation while driving data-informed fundraising strategy through prospect intelligence, analytics, and portfolio management.
This position plays a critical role in shaping strategy through prospect intelligence, data analysis, and portfolio, while also supporting planned giving efforts and ensuring the effective operation of the President’s office.
Qualifications
3–5 years of experience in prospect research, data analysis, development operations, or a related field
Strong analytical skills with the ability to interpret data and translate findings into actionable strategies
Experience with donor databases/CRM systems and reporting tools (e.g., Raiser's Edge, Kindsight; FreeWill, or similar)
Advanced proficiency in Excel or similar data analysis tools; experience with data visualization tools is a plus
Excellent written and verbal communication skills
High level of discretion and professionalism in handling confidential information
Familiarity with planned giving concepts is a plus
Key Responsibilities
Executive Support (Approximately 35–45%)
Provide high-level administrative support to the President, including calendar management, meeting coordination, and travel arrangements
Prepare correspondence, reports, presentations, and executive briefings
Serve as a liaison between the President and board members, donors, and external partners
Manage confidential and sensitive information with discretion
Support strategic initiatives and special projects led by the President
Prospect Intelligence & Analytics (Approximately 35–45%)
Partner with development leadership to shape fundraising strategy through data analysis, prospect identification, and pipeline management
Conduct advanced research and analysis on individuals, foundations, and corporations to evaluate giving capacity, philanthropic inclination, and engagement readiness
Develop high-quality prospect profiles, briefing materials, and strategic recommendations for donor engagement
Manage the full prospect lifecycle within the donor database, ensuring accurate tracking of identification, qualification, cultivation, solicitation, and stewardship stages
Analyze and monitor development officers’ portfolios, including performance metrics, prospect movement, and portfolio balance
Provide recommendations on portfolio optimization, prospect assignment, and resource allocation
Design and generate reports, dashboards, and visualizations to support leadership decision-making
Train and support staff in effective use of CRM systems, prospect management tools, and data best practices
Ensure data integrity, consistency, and adherence to prospect management policies
Planned Giving & Donor Support (Approximately 15–25%)
Identify and research prospects with strong potential for planned or legacy gifts
Maintain and organize estate gift documentation, including bequests, trusts, and beneficiary designations
Track and manage planned giving expectancies in the donor database
Respond to donor inquiries regarding tax-efficient and legacy giving options, providing general information and coordinating with professional advisors as appropriate
Assist in the creation of planned giving materials and donor communications
Collaborate with development staff on cultivation and stewardship strategies for legacy donors
