ROLE SUMMARY
This is a true right-hand Executive Assistant position supporting a senior executive as a business partner in a fast-paced, high demand commercial constructions environment. The ideal candidate is highly dependable, proactive, flexible, kind energized and deeply committed to making their executives’ professional life run smoothly. This role requires someone who thrives on responsibility, urgency, and service.
PRIMARY RESPONSIBILITIES
Schedule appointments and manage Executives calendars
Arrange calendar appointments to meet maximum productivity
Maintain daily schedule of events through verbal/text reminders
Serve as a trusted gatekeeper and partner to the executive
Proactively prepare meeting items (reports, presentations, handouts, etc.)
Plan, organize, and coordinate professional and private events
Attend Executive meetings & accurately record meeting minutes
Draft memorandums and other company communication
Screen and direct phone calls and emails
Receive and open mail
Secure travel arrangements and all logistics related to business travel
Other duties as assigned
REQUIRED SKILLS/EXPECTATIONS
2+ years supporting senior executives (CEO, VP, Executives) strongly preferred
Experience in construction, architecture, or engineering operations strongly preferred
Comfortable with non-traditional hours when required (early mornings or late evening)
Knowledge of office management systems, equipment & procedures
In-depth understanding of Microsoft Office (Excel/Word/PowerPoint/Outlook)
Verbal and written communication
Time management and organizational skills
Organized and neat, both in appearance and work area
Dependable attendance and punctuality
Able to handle high stress situations
Ability to multitask and prioritize
Flexibility and adaptability
Discretion and confidentiality
Teamwork
