Accounts Payable Specialist

Responsibilities:
Manage day-to-day Accounts Payable operations in a fast-paced retail environment, ensuring compliance with company policies and internal controls.
Review, audit, and process high-volume invoices related to merchandise vendors, freight, store expenses, and corporate vendors, ensuring proper documentation, approvals, and contract adherence.
Accurately enter AP transactions, including vendor setup and maintenance, invoice coding, accounting periods, department and store/location allocation, approval workflows, and sales & use tax compliance.
Support 1099 reporting by tracking non-employee payments and assisting with annual 1099 preparation and submissions.
Serve as a key point of contact for vendors, store teams, and corporate partners, responding to invoice and payment inquiries professionally and in a timely manner.
Manage weekly check runs and electronic payments (ACH, wire transfers, foreign drafts) to ensure timely, accurate payments while minimizing off-cycle processing.
Distribute checks and coordinate required approvals and signatures in accordance with company controls.
Partner with Procurement, Merchandising, and Finance teams to review contracts, resolve discrepancies, and ensure payments align with purchase terms and agreements.
Assist with year-end close activities and annual financial audit requests, including documentation and reconciliations related to AP.
Qualifications:
Bachelor's degree in accounting or related field is a plus
Three plus years of experience
Experience with a larger ERP system (Not QuickBooks) and strong Excel skills
Demonstrated attention to detail and accuracy.
Excellent communications skills and customer service orientation to effectively develop and sustain good working relationships with staff, vendors and members of the general public.
Skill in maintaining accurate and up-to-date records.
Ability to manage and safeguard confidential documents, data and reports.
Strong time management skills to successfully prioritize and meet deadlines while managing multiple tasks in a fast-paced environment.
Capable team player as well as independent worker.
