Corporate Operations Manager (COO Track)
Hidden Talent, Louisville, KY, United States
Operations Manager (COO Track)
Company:
CF Capital
Location:
On-Site, Monday to Friday (607 W Main Street, Suite 501, Louisville, KY 40202)
CF Capital is a fast-growing private equity real estate firm based in Louisville, Kentucky. CF Capital acquires, improves, and operates apartment communities across the Midwest and Southeast with a focus on creating better living experiences for residents, stronger returns for investors, and lasting value for the communities it serves.
CF Capital operates under the mission “Elevating Communities Together,” believing that real estate is about more than buildings. It is about creating places people are proud to call home, delivering exceptional experiences for investors and partners, and building a company culture where great people can do meaningful work at a high level.
Today, the firm owns and operates approximately 1,500 apartment units and manages roughly $175M in assets under management. Over the next 3 years, CF Capital plans to scale to 5,000+ units, launch its own property management company, and continue building the systems, people, and infrastructure needed to support that growth. Long term, the company is targeting 20,000+ units over the next 10 years.
This role offers the opportunity to work directly with both founders during one of the most exciting growth phases in the company’s history and help build the operational foundation for what comes next.
Role Trajectory
This role is designed for someone who wants to grow alongside the business over time. While the day-one focus is operational execution and founder support, there is a clear opportunity to expand into a broader leadership role as trust is earned and the company continues to scale.
Progression through each phase is based on demonstrated performance, leadership ability, and alignment with CF Capital’s culture and values. This is not a guaranteed timeline, it is an earned trajectory.
Phase 1: Operations Manager (Months 0–18)
In the first phase, you will own the day-to-day operational execution of the firm. Your primary focus will be building trust with the founders, learning the business inside and out, and ensuring flawless follow-through across all functions.
Responsibilities include:
Managing investor communications coordination, investor portal updates, and investor service requests
Coordinating transaction workflows for acquisitions, refinances, and equity raises
Processing and overseeing investor distributions
Serving as the primary liaison to external accounting and bookkeeping partners, including tax return coordination and K‑1 delivery
Managing calendars, scheduling, travel, and priorities for both co‑founders
Managing and improving the firm’s digital and physical filing systems
Owning meeting preparation, agendas, and follow‑up/accountability tracking
Maintaining, improving, and implementing the firm’s SOP library
Supporting EOS facilitation, including L10 meeting prep, Rock tracking, and scorecard updates
Coordinating events, vendor relationships, and special projects as needed
Proactively identifying operational inefficiencies and implementing solutions
Managing general administrative functions for the corporate team
Phase 2: Chief of Staff (Months 18–36)
As trust and capability grow, the role will expand beyond operational support into broader organizational leadership. In this phase, you will begin acting as a true extension of the founders, helping drive execution and accountability across the business.
Responsibilities may include:
Taking ownership of cross‑functional project coordination and accountability
Managing external vendor and partner relationships independently
Driving follow‑through across internal team members and third‑party partners
Leading process improvement and systems development initiatives
Supporting onboarding and integration of new team members as the firm grows
Beginning limited direct communication with investors and capital partners
Ensuring the founders always have visibility into key initiatives, risks, deadlines, and bottlenecks
Helping prioritize company‑wide initiatives and maintain alignment across the team
Phase 3: Chief Operating Officer (36+ Months)
Long‑term, the right person has the opportunity to grow into a true operational leadership role within the company.
At the COO level, responsibilities may include:
Overseeing all operational functions across the corporate team and future property management company
Owning company‑wide systems, reporting cadence, and communication flow
Leading and managing a growing team, including hiring, onboarding, coaching, and performance management
Driving execution of the company’s strategic plan in partnership with the co‑founders
Representing CF Capital externally with investors, lenders, and partners as appropriate
Identifying and implementing new processes, systems, and infrastructure needed to support continued growth
Significantly reducing founder involvement in day‑to‑day operational execution so leadership can remain focused on growth and strategy
What Success Looks Like
Six months into this role:
95%+ of action items, deadlines, and follow‑ups are completed on time
Investor and partner inquiries are responded to within 24 hours
The right hire will remove 8–10+ hours per week from each founder’s plate within the first six months
The founders have more time to focus on growth and strategy
Projects, priorities, and deadlines are highly organized and visible
Investor communications, distributions, and follow‑ups are happening seamlessly
Processes are documented, improved, and consistently followed
Problems are being solved proactively, not escalated reactively
CF Capital is a metrics‑driven organization, and this role will be measured by execution reliability, responsiveness, and the ability to remove operational burden from the founders.
What We’re Looking For
3–7 years of experience in operations, executive support, project management, consulting, business management, financial operations, or similar environments
Experience supporting founders, executives, or high‑growth teams
Exceptional follow‑through and organizational skills
Strong written and verbal communication
High attention to detail and bias toward action
Comfort operating in a fast‑paced, entrepreneurial environment
Strong systems mindset and ability to improve processes
Ability to balance strategic thinking with hands‑on execution
Experience in real estate, property management, private equity, wealth management, or financial services is preferred but not required
Most importantly, we are looking for someone who is:
High ownership
Relentless with follow‑through
Strong in judgment and decision‑making
Comfortable with ambiguity
Humble enough to handle the unglamorous work
Ambitious enough to grow into leadership
This role is ideal for someone who thrives in a founder‑led environment and wants to earn a seat at the leadership table over time.
