Oncology Schedule Coordinator
Summary of Position:

The scheduling coordinator is a key resource for PetCure Oncology teams to process referrals, support clients, and schedule patients quickly and efficiently, so they have access to cancer care with urgency. This includes retrieving and organizing clinical records for cases to ensure productive consultations that are set up for success.

Clinical Records Retrieval and Organization

Works in collaboration with all clinic staff to ensure clinical records are gathered and organized before the patient is seen by our service.

Builds positive and friendly relationships with referring veterinary offices.

Generates a high volume of outgoing calls to veterinary offices for records.

Demonstrates a high-level understanding of veterinary oncology/clinical diagnostics and can communicate effectively with veterinary offices and/or pet owners.

Input accurate notes and data entry into multiple technology platforms.

Takes payment and sends invoices to clients and any other financial needs that are required - dealing with insurance/Care Credit.

Client Experience

Represent and champion PetCure Oncology mission and vision in all interactions.

Ensure client experience is at the forefront of all processes that occur from first touch point to follow-up.

Use specialized expertise and experience to instill confidence and value to pet owners and veterinarians.

Team Communication and Support

Participate in team meetings as scheduled.

Notify staff of issues that may occur with the client and/or pet via slack or phone calls.

All communication with team members is respectful and done in a calm manner.

Willingness to take on additional tasks to help other members of the team that may be running behind schedule.

Operational Efficiency

Ability to adjust in a fast-paced environment, multi-task and work within tight deadlines.

Complex problem solving/Critical thinking skills; identifies problem and reviews information to develop and evaluate options and implement solutions.

Willingness to learn new skills.

Other duties or special projects as assigned.

Work Experience & Education
3-5 years of prior veterinary experience, preferably in a medical or radiation oncology service.

Skills & Knowledge

Exceptional relationship skills and the ability to build trust amongst all audiences, especially our clients and partner hospital departments.

Exceptional communication, written and oral.

High level understanding of what it takes to “be the best” from a customer interaction to a best place to work, is driven to achieve.

High level of understanding of technology, hardware and software and how to troubleshoot any issues.

Experience with Microsoft 365 products (Outlook, Teams, Word, Excel).

Ability to work within tight deadlines.
