
Administrative Professional Construction Clerk

The Administrative Assistant/Construction Clerk plays a critical role in supporting daily financial operations and overall office coordination. This position is responsible for managing accounts payable processes, vendor coordination, job cost tracking, and administrative support across multiple projects and departments. The ideal candidate is detail-oriented, organized, and able to manage multiple priorities in a fast-paced environment.
Key Responsibilities – Accounts Payable & Financial Processing
Process and code invoices accurately and in a timely manner
Match invoices to tickets, receipts, and job costs
Maintain vendor accounts and resolve billing discrepancies
Assist with debit/credit card transaction tracking and reconciliation
Coordinate with internal team members to ensure proper approvals before payment
Prepare and maintain spreadsheets for job cost tracking, materials, and reporting
Support weekly and monthly financial reporting processes
Key Responsibilities – Job Costing & Materials Tracking
Track and reconcile material tickets, pricing, and invoices
Maintain job cost data by project, including tons, pricing, and charge-outs
Prepare and submit job cost summaries and reports to leadership
Assist with comparisons and cost analysis across plants, vendors, and projects
Key Responsibilities – Vendor & Office Coordination
Manage vendor relationships, including ordering supplies and services
Coordinate with plants, suppliers, and internal teams for billing and documentation
Set up and maintain accounts for new vendors, jobs, and locations
Handle ordering of office supplies, equipment, and operational needs
Assist with service coordination (phones, rentals, utilities, etc.)
Key Responsibilities – Administrative & Operational Support
Manage incoming and outgoing mail from multiple locations
Organize and distribute payroll checks and related documents
Assist with pre-construction documentation and project setup
Maintain organized filing systems (physical and digital)
Support permitting, licensing renewals, and compliance tracking
Coordinate miscellaneous office needs such as events and employee support items
Key Responsibilities – Project & Business Support
Assist with setup of job numbers and project documentation
Support pre-construction processes and communication
Help ensure all documentation is submitted to appropriate stakeholders
Provide general administrative support to leadership and project teams
Qualifications
2+ years of experience in accounts payable, bookkeeping, or administrative coordination
Strong organizational and multitasking skills
High attention to detail and accuracy
Proficiency in Microsoft Excel and general office software
Ability to work independently and as part of a team
Strong communication and problem-solving skills
Preferred Experience (Not Required)
Construction, trucking, or materials industry experience
Job costing or project-based accounting experience
Experience working with multiple vendors and locations
