Monday – Friday, 8:00 AM – 5:00 PM CST – on call position with occasional overtime
Pay
28 USD per hour
Job Responsibilities
Managing daily office operations, including supplies, mail distribution, and workspace organization.
Coordinating onsite and offsite events, including company lunches, meetings, and executive visits.
Supporting executive leadership with administrative and operational needs.
Assisting with onboarding logistics, including badge creation and workspace assignments.
Ensuring a professional and welcoming experience for visitors, vendors, and employees.
Essential Duties and Job Functions
Greet visitors, vendors, and new hires; manage check‑in through visitor systems and connect them with onsite contacts.
Enforce visitor access policies and maintain security procedures for all guests.
Plan and coordinate company events, meetings, and employee lunches.
Order, track, and manage office supplies and inventory.
Sort and distribute incoming mail and packages across the facility.
Maintain and update the office seating chart for headquarters.
Partner with IT and HR to support onboarding processes, including badge setup and seating assignments.
Assist Facilities and executive leadership with special projects and operational tasks.
Act as a resource for employees and visitors by responding to inquiries and providing support.
Knowledge & Skills
Strong organizational skills with high attention to detail and accuracy.
Excellent time management and ability to multitask effectively.
Strong verbal and written communication skills.
Customer service‑oriented with strong interpersonal abilities.
Ability to work independently and collaboratively in a fast‑paced environment.
Proactive, adaptable, and solution‑oriented mindset.
Ability to prioritize tasks and meet deadlines consistently.
Professional demeanor with a “no task too small” attitude.
Proficiency in Microsoft Office (Word, Excel, Outlook, Teams).
Education & Experience
1–3 years of experience in an office administrative or similar role (preferred).
Bilingual in English and Spanish (preferred).
Event planning or coordination experience (preferred).
Experience working in a fast‑paced, high‑growth, or startup environment (preferred).
