Key Responsibilities
Acts as liaison between in-house counsel, claims personnel and outside counsel
Reviews, verifies, logs and sets legal bills in line for payment
Entry of and monitoring of compliance invoices through point of approval in Coupa
Maintains cumulative legal invoice tracking system
Produces quarterly legal activity reports
Coordinates and monitors timely response to insured Executive and Insurance Department complaints
Acts as liaison between claims personnel, claims counsel, state insurance departments and client companies regarding responses to insured complaints
Maintains complaint, subpoena and 1099 logs
Maintains files regarding complaint and subpoena responses
Produces under order of subpoena or valid authorization documents from various venues and tracks on the subpoena log
Maintains and updates legal research files
Maintains open and closed litigation files
Tracks pending litigation
Coordinates annual renewals of Law Department registrations
Assists with data entry for regulatory data calls for clients (including MCAS)
Assists with data entry for child support data match
Assists with gathering documentation/data entry/officer signatures for TPA license renewals
Maintains cumulative TPA licensure tracking system
Maintains and updates cumulative compliance tracking system
Performs various support tasks including, but not limited to filing, copying and word processing
Develops and maintains effective relationships and communication with co-workers, management, clients, and vendors

Participates in special projects as needed and performs other related job functions as required
Skills, Knowledge & Expertise
High school diploma; Associate’s degree preferred
2–3 years’ administrative assistant experience
Insurance industry experience and familiarity with legal proceedings preferred
Proficiency in Microsoft Word, Excel and Sharepoint. Proficiency in Coupa a plus
Excellent oral and written communication and interpersonal skills
Excellent cognitive ability, analytical skills, organization, and recall
Ability to handle sensitive and confidential issues
Solid customer service skills
Ability to handle multiple tasks
Ability to work in a fast‑paced environment
Ability to work individually and as a team player
Ability to adapt to changes in the work environment
