
Job Coordinator

The Job Coordinator plays a key role in ensuring smooth operations within our showroom and office. This position involves front desk, customer service, administrative support, and coordination of orders and job packets.
Responsibilities
Customer Service & Front Desk
Answer phone calls and direct inquiries appropriately.
Greet and assist customers in the showroom.
Process credit card payments and provide receipts as needed.
Maintain cleanliness and organization of the showroom.
Order & Job Processing
Submit and verify orders with vendors to ensure accuracy.
Enter and manage job packets in our system.
Scan, upload, and file all necessary documents, including:
Track deliveries and update the Truck List, notifying sales staff of arrival dates.
Coordinate with vendors regarding order changes and special requests.
Administrative & Office Support
Assist with various tasks as needed from each department.
Ensure sales packets are complete, properly formatted, and readily available.
Maintain and update the company phone list.
Order and manage office supplies and showroom samples.
Event & Miscellaneous Responsibilities
Help organize company events such as the Christmas and summer parties.
Prepare trailer reports for management.
Ensure customers receive survey requests for feedback.
Maintain a welcoming and professional showroom environment, including small tasks like refilling candy jars.
Qualifications
Education & Experience
High school diploma or GED (minimum)
1-3 years of experience in administrative support, customer service
Skills & Abilities
Excellent attendance and reliability
Strong organizational and multitasking skills
Excellent communication (verbal & written)
Ability to work under pressure and meet deadlines
Proficiency in Microsoft Office (Excel, Word, Outlook)
Problem-solving and decision-making skills
Attention to detail and accuracy
