Graduate Assistant Athletics Administration
The Graduate Assistant - Athletics Administration provides direct, high-level support to the Director of Intercollegiate Athletics while assisting in the coordination of key departmental operations. The Graduate Assistant assists with day-to-day operations, event and game-day coordination, departmental communications, and special projects, while gaining exposure to executive-level decision-making, organizational management, and NCAA Division II athletics operations. The Graduate Assistant will play an integral role in advancing departmental priorities through strong organization, communication, and follow-through, while helping ensure a well-run, mission‑driven athletics operation. A key responsibility is the enthusiastic implementation of and personal investment in the University’s “Greatness Through Virtue” whole-person development model.
Candidates will be invited to demonstrate a willingness to support the Christian, Catholic, Benedictine mission of the University of Mary.
Essential Roles and Responsibilities Include:
Provides direct administrative support to the Director of Intercollegiate Athletics, including calendar management, correspondence, document preparation, and follow-up on key initiatives.
Assists with oversight and coordination of athletic department events and game‑day operations, including credentialing, staffing coordination, and ensuring operational readiness.
Prepares meeting agendas, presentations, and reports; attends meetings as assigned to record accurate minutes, track action items, and support follow-through.
Drafts, edits, and formats internal and external communications on behalf of the Athletics Department, ensuring alignment with university standards and messaging.
Maintains and organizes departmental records, databases, and filing systems (digital and physical) in accordance with institutional policies and best practice.
Assists in the development and maintenance of athletic schedules, departmental calendars, and key administrative timelines.
Conducts research and compiles data to support departmental initiatives, including strategic projects, fundraising efforts, donor and alumni engagement, and operational needs.
Supports the coordination and execution of fundraising activities and special events in collaboration with Athletics leadership and campus partners.
Provides guidance and supervisory support to student workers, reinforcing office procedures, professionalism, and effective task prioritization.
Serves as a liaison for internal communications between Athletics and other university offices, promoting clear, timely, and professional coordination.
Performs other duties as assigned.
Desired Minimum Qualifications, Education, and Experience Include:
Required: Bachelor’s degree.
Required (upon appointment): Enrollment in a University of Mary graduate program and eligibility for a Graduate Assistantship.
Supports the ongoing implementation of Ex Corde Ecclesiae, the apostolic constitution on Catholic colleges and universities.
Builds a culture of ready and earnest hospitality in the Office of Intercollegiate Athletics and throughout the university, in accord with Saint Benedict’s admonition that all be received as Christ.
Knowledge and Skills Required:
Understanding the “Greatness Through Virtue” core strategies and being able to facilitate the growth of our Scholar-Athletes in the virtues of academic life.
Strong organizational and time‑management skills with the ability to manage multiple priorities.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Ability to maintain confidentiality and exercise professional discretion.
Willingness to support the Christian, Catholic, and Benedictine mission of the university.
