Recruiting Administrative Specialist

The primary role of the Administrative Support Specialist is to support recruiting, onboarding, coverage dispatch and other Administrative Support functions of the Management Services Division.
ESSENTIAL DUTIES & TASKS Recruiting Responsibilities:
Coordinate recruitment activities including job postings and candidate communication
Support onboarding processes to ensure seamless integration of new hires
Maintain/Verify accurate employee records and compliance documentation
Collaborate with Divisional Leadership for workforce planning and talent acquisition
Coordinate Interview Schedules for GOM approvals
Develop and/or assist in developing and implementing administrative policies and procedures
Work with GOM and Admin Team on Site Requirements
Onboarding Support Responsibilities:
HR-Coordination Pre-Hire Candidate Confirmation Candidate Paperwork Confirmation

Programmatic Responsibilities:
Coverage Dispatch Oversight: Coordinate the schedules of organizational floaters for the purpose of filling on-site employee PTO vacancies, etc.
Manage daily absence notification by fielding calls, email and text communication.
Ensure floaters with appropriate skillsets and qualifications are dispatched site locations as needed.
Work with staffing partners when needed to supplement MCS floater personnel.
Communicate with managers, GOM's and other personnel to ensure floating personnel are meeting the requirements of each site manager and client.
Communicate assignment schedules to floaters and staffing partners (in advance when possible), typically at the beginning of each week.
Assist Director of Operations in the management of the floating team through input on performance, support with floater payroll, etc.
Monthly management team building activity coordination
Manage the MCS Academy - Monthly reporting on employee completion and corrective actions
Safety Team participation
Other duties as assigned.
KNOWLEDGE, SKILLS AND ABILITIES:
Minimum 5 years of related work experience
High School Diploma or equivalent
Associate's Degree or Bachelor's Degree preferred.
Strong knowledge of Microsoft Word, Excel, Outlook, Teams, and Adobe.
Excellent verbal and written communication skills.
Proficient in typing, downloading, organizing and managing electronic documents.
Ability to deal effectively with individuals at all organizational levels.
Good judgment and ability to make timely and sound decisions.
Creative, flexible, and innovative team player.
Requires skills in coordinating calendars and using multiple methods of communication to include email, phone and text/SMS messaging.
Leadership experience in a fast paced environment
Ability to work independently and as a member of various teams and committees.
