Perform routine secretarial duties in support of the department, assigned division, supervisors and staff, and the general public to ensure efficient, effective operations and positive customer relations.
Essential Duties:
Greet and direct visitors, answer questions and provide a variety of information and calls to appropriate staff.
Receive incoming and interoffice calls, take messages when necessary, and provide needed information or direct customers to the appropriate personnel.
Return phone calls to provide information requested.
Assist with scheduling appointments and keep calendar of community and other meetings.
Assist with coordinating arrangements for community meetings, mail notices to property owners and/or submit notices for publication and take minutes.
Assist with preparing agendas and other presentation materials as directed.
Create, monitor and schedule work orders for janitorial, maintenance and repair of facilities and/or office equipment repairs.
Verify the accuracy of preliminary payroll and submits corrections as necessary as needed to support the Administrative Assistant.
May examine and analyze accounting records of vendors to verify accuracy of figures, calculations, and postings; review data making necessary corrections or lists of discrepancies for adjusting; process and record invoices and journal entries or other transactions.
Prepare correspondence, and other documents as directed such as routine memorandums.
Type various letters, correspondence, and documents from clear copy or rough drafts.
Manage files, and maintain commission, committee, and department records.
Maintain various records using an orderly and easily retrievable method.
Sort, file, copy, and distribute materials to appropriate personnel.
Assist with maintaining inventory of general office supplies and other items for staff.
May route various payroll and other HR forms on behalf of personnel to the appropriate person.
Additional Duties: Other duties may be assigned.
Qualifications:
A. Education. High School diploma or GED
B. Experience. Three (3) years of full-time responsible clerical work experience. Bilingual (English/Spanish) preferred.
C. Education/Experience substitution. In accordance with County Policy
D. Licenses/Certifications. Valid driver's license. Must maintain a satisfactory driving record in accordance with County policy.
E. Other (e.g., post-offer medical exam, polygraph, background check, driver's license record, etc.). Background and driving record check.
