Payroll & Accounts Payable Specialist (Construction)
We're working with a growing construction company that is looking to add a Payroll & Accounts Payable Specialist to their team. This position will support payroll processing, accounts payable, and some light HR-related responsibilities, with a strong focus on accuracy, compliance, and job cost tracking.
What You'll Be Doing
Payroll
Manage weekly payroll for both field and office employees, including union and non-union staff
Review and verify timecards, job costing, and certified payroll data
Ensure compliance with prevailing wage requirements and union agreements
Maintain payroll records, including deductions, garnishments, and benefits
Prepare payroll-related reports and assist with tax filings
Address payroll questions and resolve discrepancies
Accounts Payable
Process vendor invoices and assign costs to the appropriate jobs/projects
Coordinate with project managers for proper coding and approvals
Match invoices with purchase orders and receipts
Handle weekly payment processing (checks and electronic payments)
Maintain vendor records, including W-9s and 1099 tracking
Reconcile vendor statements and resolve any issues
Support accurate job costing and cost tracking across projects
HR / Administrative Support
Assist with onboarding and new hire documentation
Maintain employee records and ensure compliance with documentation requirements
Support benefits administration and employee updates
Track certifications, licenses, and required compliance documentation
Partner with payroll on time-off tracking and employee updates
Additional Support
Assist with month-end close activities
Maintain organized accounting and personnel records
Follow internal processes and ensure compliance with company procedures
What They're Looking For
25 years of experience in payroll and/or accounts payable (construction experience is a plus)
Familiarity with job costing and construction accounting practices
Exposure to certified payroll and prevailing wage requirements preferred
Strong Excel skills and experience with accounting systems (Spectrum is a plus)
Detail-oriented with the ability to manage multiple priorities and deadlines
Comfortable working in a fast-paced, project-driven environment
Nice to Have
Experience supporting union payroll
Understanding of lien waivers and subcontractor compliance
Strong communication skills across internal teams and vendors
