EXECUTIVE COORDINATOR / EXECUTIVE ASSISTANT

Seeking a highly capable, professional, and driven Executive Assistant to support the CEO & President across multiple operating procedures and select personal responsibilities. This is a high-impact, trusted partner position designed to increase efficiency and ensure seamless execution across business priorities.
The Opportunity
You will function as an extension of the CEO — managing information flow, time, and ensuring priorities are executed at the highest level. The right candidate thrives in fast-paced, high-accountability environments. You will own the flow of information, priorities, and execution around the CEO. Your job is to eliminate inefficiencies, enforce accountability, and implement best practices. This is NOT an administrative support role. This is an execution role for someone who can think, push, verify, and deliver results at a high level without constant direction or cracks. This individual must be looking to grow their career by doing high-quality work.
Key Responsibilities
Coordinate and prepare materials for executives, board, and professional meetings
Attend meetings when needed and provide action items, and follow-up execution
Manage complex travel and event planning logistics
Interface professionally with senior executives, partners, attorneys, and advisors
Provide financial coordination (invoice review, expense tracking, overall review and budgeting)
Able to audit vendor quotes, invoices, and material quantities for accuracy
Consistent tracking of initiatives, deadlines, and cross-team accountability
Maintain professional judgment at all times
Maintain rapport with customer and business partner interactions
Required Qualifications
2+ years supporting senior executives or C-suite leaders
2-year degree or better from an accredited college
Advanced Microsoft Excel application (formulas, charts, values, not just data entry)
Microsoft Outlook and calendar management
Exceptional digital organization skills
Clear, concise written communication (can elevate without hesitation)
High emotional intelligence and discretion
Takes ownership of tasks, meets deadlines, finds solutions
Attention to detail. Does not cut corners, does not accept sloppy work, does not accept vague information.
Proficient in reviewing reports and understanding numerical data, able to analyze and interpret data and reconcile complex data sets. Do not pass along unvalidated information.
Understanding of business workflows and standard business practices
Critical thinking (build - document - enforce)
Effective working with PMs, vendors, and internal teams
Thrives in a high-performance environment with ability to influence
Proactive, resourceful, and solutions-driven (does not wait to be asked)
Does not allow tasks to go untracked due to lack of process or lack of understanding
Operates with structure, logic and professionalism at all times
Comfortable working extended hours when business or team demands require
Is able to take direction correctly
