Parish Administrative Assistant

This position of parish Administrative Assistant is a flexible shift, part-time position (approximately 21 hours per week) and is responsible for administrative functions of the office and works directly with the pastor and other staff members. The position reports directly to the Pastor or Parish Business Administrator.
Essential Job Duties
As an integral part of your ministry for the Church as carried out in this position, support and uphold the philosophy of Catholic ministry and the mission of St. Mary's Parish in both your professional and personal life
Act as a witness to Gospel values by modeling the teachings of the Catholic Church
Continuously grow in your ministry by participating in religious ceremonies, training sessions, and reflection activities as directed
Maintain relationships with clergy, parish staff and parishioners
Performs the duties of receptionist
Assists the Parish Administrator in the Gift Shop
Maintains files
Providing Financial Reports (Weekly, Monthly, Annually, and upon request)
Data Entry into PDS System
Assists with the Over-sight of Money Counter Teams and process
Work approximately 4-5 weekends per year, as needed and assigned by Parish Business Administrator
Knowledge, Abilities, and Skills
General skills that we are looking for in an Administrative Assistant include: excellent communication skills, an understanding of computer and social media strategies, a strong work ethic, and an ability to interact with parishioners and others who come to the parish office.
Excellent verbal and written communication skills
Knowledge of the Catholic Community
Knowledge, skills and abilities related to general accounting/bookkeeping and an understanding of financial terms
Ability to operate various word-processing software, spreadsheets, and database programs
Ability to provide excellent customer service and work effectively with staff, clergy and parishioners
Ability to organize, prioritize and utilize effective time management techniques
Ability to maintain confidentiality at all times
Ability to manage and complete multiple tasks/assignments simultaneously and meet deadlines
Ability to follow instructions furnished in verbal or written format
Ability to travel to for training to different locations within the Austin Diocese that may include overnight stays
Ability to maintain files
Minimum Qualifications
Education and Trainings: High School Diploma or GED acceptable to Texas Education Agency
Experience: Two (2) years of related work experience
Catholic Requirement: Must be a practicing Roman Catholic in good standing
Language: English
Licenses/Certifications: Valid Texas driver's license and a means of transportation
Must maintain compliance with the Diocese of Austin Ethics and Integrity in Ministry (EIM) policies throughout the employment period
Working Conditions
All employees of the parish are engaged in ministry and closely tied to the Pastor in the exercise of his ministry and obligations to the church
The parish is an at-will employer
Working in a fast-paced environment with priorities and plans that may change rapidly
Working on weekends, evenings and some holidays may be required
Will be exposed to religious ceremonies, conduct and speech including Roman Catholic Christian prayer and liturgical celebrations
Will be required to adhere to established dress codes and conduct standards
